Position Title: Payroll and Business Office Assistant (Shared Services Coordinator)
FLSA Classification: Hourly, Non-Exempt
Reports To: Director of HR & Director of Business Office/Controller
Status: Full-Time
Work Schedule: M-F (7:30AM-4:00PM)
Position Purpose:The Payroll and Business Office Assistant provides essential administrative, clerical, and operational support to ensure the effective and efficient daily function of both the Human Resources and Business Office departments, directly contributing to the mission, vision, and organizational goals of The Woodlands Christian Academy (TWCA).
Essential Functions – General Administration:
Office Operations: Coordinate and execute daily business office operations utilizing strong organizational, planning, and interpersonal skills.
Administrative Support: Provide comprehensive clerical support (including data entry, record-keeping, and routing communications) for the Human Resources, Business Office, and broader Shared Services leadership.
Workflow Management: Successfully balance conflicting priorities to manage shifting workflows, meet critical administrative deadlines, and ensure the timely completion of essential projects.
Community Relations: Serve as a professional representative of the Human Resources and Business Offices, developing positive relationships across the TWCA community through clear and effective verbal and written communication.
Mission Alignment: Uphold TWCA’s mission, vision, and core values as outlined by the Governance Board, and perform other related duties as assigned.
Human Resources and Business Office - Specific Functions:
Data Integrity & Confidentiality:
- Maintain absolute discretion, integrity, and strict confidentiality regarding all employee, payroll, student, and business office files and records in compliance with school policies and legal regulations.
Payroll & Timekeeping Support:
- Assist with the accurate processing of biweekly and monthly payroll.
- Coordinate directly with HR and supervisors to track timekeeping data, attendance, and approved pay changes.
- Ensure strict compliance with applicable payroll procedures and employment regulations.
Human Resources Administration:
- Maintain accurate, organized, and up-to-date human resources files, records, and compliance documentation.
- Conduct periodic audits of HR files and records to ensure all required documents are collected, verified, and filed appropriately.
- Responsible for onboarding new employees, including collecting and verifying employment documentation, entering employee information into the payroll system, maintaining accurate personnel records, and ensuring all new hire data is processed in a timely and confidential manner
- Assist with the coordination and execution of new hire orientation.
Business Office & Financial Operations:
- Input and update financial data accurately across various institutional databases and spreadsheets.
- Coordinate the purchasing of goods and services in strict accordance with the school’s established purchasing policies and procedures.
- Deliver, route, and file financial statements and operational reports for the Director of Business Office/Controller.
Qualifications:
- High school diploma required; Associate’s or Bachelor’s degree preferred.
- Experience in related fields.
- Excellent communication skills and knowledge of standard clerical/administrative procedures.
- Proficiency in Microsoft Office and the ability to learn new software.
- Experience using Paycom preferred,
- Outstanding use of English in all written, verbal, and digital correspondence.
- Highly organized and efficient with an ability to manage a range of objectives and to execute multiple objectives concurrently.
- Ability to think critically, work collaboratively, and respect confidentiality.

Physical Requirements and Work EnvironmentThe ideal candidate can:
- Occasionally lift up to 30 pounds.
- Work in standard office conditions and climate.
- Perform in a sometimes-stressful environment dealing with a wide variety of challenges, deadlines and a varied and diverse array of contacts.
- Sit and stand for extended periods of time; bend, stoop, climb stairs, and reach overhead.
- Hear and understand speech at normal office levels, outdoors and on the telephone; speak in audible tones so that others may understand clearly in normal offices, outdoors, and on the telephone.
