Commercial and multi-family real estate firm is seeking an efficient, organized, professional and well-qualified applicant to perform a variety of administrative duties involving commercial real estate. Familiarity with accounting, insurance and commercial real estate is required.
RESPONSIBILITIES
· Post, track, and reconcile rent payments and other financial transactions
· Perform accurate data entry for tenant accounts, invoices, and receipts
· Enter new tenants into the management system using lease documentation
· Maintain and update tenant files, lease records, and account ledgers
· Track late charges, apply fees as needed, and communicate with tenants regarding outstanding balances
· Prepare, file, and manage sales tax reporting for commercial and multifamily properties
· Track water and electric utility bills for assigned properties and bill charges to tenant ledgers
· Generate monthly financial reports and statements
· Prepare detailed Owner Financial Reports
· Enter and process rent receipts, vendor invoices, and accounts payable/receivable items
· Contact tenants and vendors to request, receive, and track Certificates of Insurance (COIs)
· Assist with general leasing and accounting support as needed
· Ensure accuracy, compliance, and organization of all financial and tenant records
· Perform front reception desk duties as needed
QUALIFICATIONS, SKILLS & KNOWLEDGE REQUIREMENTS
· Must have a strong work ethic, work efficiently, stay on task, multitask, and meet deadlines.
· Must show high attention to detail, accuracy, and organizational skills.
· Must take pride in your work, appearance, and environment.
· Must have advanced knowledge of Microsoft Word, Excel, Outlook and the internet.
· Proficient at the development of professional correspondence, familiarity with insurance and knowledge of basic accounting.
· Experience with Yardi software is a plus.
· Must have the ability to read, write, and speak effectively and professionally, and interpret rules, procedures, routine reports and general correspondence.
· High school diploma or GED.
· Must be able to work 40 hours per week, Monday - Friday, 8:00am to 5:00pm.
· Must be able to pass a background check and drug screening.
Salary and insurance commensurate with experience.
