Essential Duties and Responsibilities:
- Create Seamless Patient Experiences: Be the friendly face that patients rely on, efficiently managing appointment scheduling and records to ensure a smooth and hassle-free visit.
- Warm Patient Interactions: Extend a warm and professional welcome to patients during check-in and check-out, making them feel valued and respected from the moment they arrive.
- Insurance and Demographic Expertise: Verify patient insurance eligibility and update demographic records with meticulous attention to detail, ensuring accuracy and efficiency in our operations.
- Efficient Payment Handling: Skillfully collect co-payments and other patient payments, providing clarity and transparency throughout the payment process.
- Effective Appointment Management: Manage incoming calls, schedule appointments, and coordinate procedures, demonstrating exceptional organizational skills and attention to detail.
- Patient Guidance and Support: Offer guidance to patients regarding referrals, authorizations, and insurance inquiries, providing valuable assistance and support at every step.
- Thorough Record Keeping: Maintain organized records, follow up on patient intake information, and manage incoming faxes and paperwork distribution effectively, ensuring that all documentation is handled promptly and accurately.
- Precision in Documentation: Maintain and update patient chart notes with precision, ensuring that all information is accurate and up-to-date.
- Communication Excellence: Foster effective communication with insurance companies, specialists, providers, staff, and patients concerning referrals and prior authorization of medical services, ensuring smooth coordination and collaboration.
- Adherence to Compliance: Adhere unwaveringly to all HIPAA guidelines and regulations, maintaining the utmost professionalism and upholding strict confidentiality with patients and practice information.
- Flexibility and Collaboration: Adapt readily to flexible workplace needs, extending a helping hand to colleagues when required, and actively participating in office meetings and special projects, contributing positively to the team dynamic.
- Patient Comfort and Satisfaction: Uphold the cleanliness and orderliness of the waiting area, ensuring the availability of reading materials and contributing to communication and public relations initiatives, enhancing the overall patient experience.
Minimum Qualifications (Knowledge, Skills, and Abilities):
- Bachelor’s Degree Preferred (Two years of college or equivalent work experience preferred).
- 1-2 years of relevant experience or coursework demonstrating expertise.
- Proficiency in exchanging non-routine information with tact and persuasiveness as appropriate.
- Exceptional oral and written communication skills.
Physical Demands and Work Environment:
- Regular requirements include talking or hearing.
- Frequent manual tasks such as handling objects, tools, and controls.
- Occasional standing, walking, sitting, or reaching.
- Occasional lifting and/or moving objects up to 25 pounds.
- Specific vision abilities required, including close vision, distance vision, color vision, peripheral vision, and focus adjustment.
