Job Summary:
The Clinic Administrator position manages administrative activities to promote growth and development. This position oversees all clinic direct care staff to ensure the highest standards of quality and productivity are achieved. The Clinic Coordinator will also work in conjunction with the BCBAs to meet financial goals.
Responsibilities
Client Specific Duties:
- Monitor and track client census including daily revenue and billable hours to maximize productivity
- Ensure completion of electronic client records
- Ensure schedule or behavior changes are communicated to parents
- Ensure completeness and accuracy of client records in coordination with BCBA
- Complete Compliance/Client record reviews weekly – report to assigned client BCBA
- Maintain client supplies and assist with monitoring the budget accordingly
- Oversee client/staff schedules to ensure efficiency/productivity of clinic and assumes scheduling duties as needed
- Provide direct care staff breaks as requested during the session
- Serves as a floater for staff cancelations
General Duties:
- Request necessary repairs and/or building maintenance, and communicate special needs to Director of Operations/CEO as needed
- Order and track supplies to ensure compliance with clinic supply budget
- Schedule and track clinic safety drills
- Ensure completion of all Incident Reports (IR) as needed
- Coordinate communication of information among all departments to staff (i.e.: billing, HR, finance, compliance)
- Conduct audits using internal audit forms
- Oversee compliance with Health and Safety Policies including but not limited to conducting required safety drills, ensuring correct and prompt submission of incident reports and maintain first aid kit
- Do community outreach and marketing to promote growth both locally and company-wide
- Manage daily duties as needed in absence of scheduler/secretary
- Oversee/Assign appropriate staff to cleaning duties
- Other duties as assigned
Staffing Duties:
- Conduct weekly (and as needed) staff meeting to ensure good communication and set weekly priorities/ goals
- Review census/staffing ratios and make recommendation for staffing modification to Clinical Director
- Complete new hire shadowing/training with the assistance of the Clinical Director
- Manage staff concerns and disciplinary issues per company protocol
- Manage direct care staff per company guidelines
Requirements
- Bachelor’s degree in a related field preferred, Associate’s Degree in Business or related field required
- Minimum of 3 years management experience required unless approved by Human Resources
- Expansive experience within the ABA field required
- Proficiency with technology and experience in CentralReach and Microsoft Office products (Word, Excel, etc.) as well as ability to learn new systems
- RBT certification
- First Aid/CPR certification required
- Maintain highest standards of professionalism
