POSITION SUMMARY
The Part-Time Program Assistant provides administrative, clerical, compliance, and operational support to ensure the effective implementation of the Lessie Bates Davis Neighborhood House AmeriCorps Program. This position assists with member file management, program documentation, reporting, data organization, and general office support while also contributing to agency-wide initiatives that support the mission of Lessie Bates Davis Neighborhood House. The Program Assistant may provide support to other agency programs, including the Food Pantry and special projects, as needed, to help advance the organization's commitment to serving children, families, seniors, and the community.
ESSENTIAL DUTIES AND RESPONSIBILITIES
AmeriCorps Program Support
- Review member files and supporting documentation to ensure quality, accuracy, completeness, consistency, and compliance with AmeriCorps and agency requirements.
- Assist with the enrollment, retention, and exit documentation process for AmeriCorps members.
- Conduct ongoing audits of member files to ensure all required forms, signatures, and supporting documentation are properly completed and maintained.
- Scan, upload, organize, and maintain electronic and hard-copy program files.
- Utilize agency electronic filing systems and shared drives to ensure documents are accurately stored and readily accessible.
- Track and assist with the preparation of reports including member rosters, service hours, attendance records, slot utilization tables, and other required program reports.
- Ensure confidential information is maintained and protected in accordance with agency, state, and federal guidelines.
- Communicate regularly with AmeriCorps staff regarding file compliance, documentation needs, and project status.
- Assist with data entry, correspondence, scheduling, copying, and other administrative functions necessary to support daily program operations.
- Support AmeriCorps recruitment, orientation, training, recognition activities, and special events as assigned.
Agency and Community Support
- Provide support to the Lessie Bates Davis Neighborhood House Food Pantry, including client intake assistance, inventory support, food distribution activities, recordkeeping, and other operational needs as directed.
- Assist with clerical and administrative tasks that support the overall mission and goals of Lessie Bates Davis Neighborhood House.
- Provide assistance to agency programs, departments, and community service initiatives during periods of increased need, special events, outreach activities, or staff shortages.
- Support agency-wide projects, audits, monitoring visits, compliance reviews, and reporting requirements as assigned.
- Promote a positive and professional image of the agency when interacting with clients, volunteers, community partners, and stakeholders.
Other Duties
- Maintain organized records and archives in accordance with agency retention policies.
- Attend required staff meetings, trainings, and professional development activities.
- Perform other duties and responsibilities as assigned to support the AmeriCorps Program and the overall mission of Lessie Bates Davis Neighborhood House.
QUALIFICATIONS
- Associate degree preferred, or equivalent combination of education and relevant work experience in an administrative, clerical, records management, or office support role.
- Experience with document management, file maintenance, data entry, and general office procedures preferred.
- Strong organizational skills with exceptional attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Effective verbal and written communication skills.
- Proficiency in Microsoft Office Suite and general computer applications.
- Ability to adapt to changing priorities and work independently with minimal supervision.
- Demonstrated initiative, dependability, and a commitment to quality work.
- Valid driver's license required.
- Must successfully pass all required criminal background checks.
WORKING CONDITIONS
This position may require occasional lifting, standing, bending, and assisting with pantry operations, program activities, community events, and special projects. Flexibility may be required to meet agency and program needs.

Pay: From $19.23 per hour
