Purchasing / Fulfillment Coordinator Job Description
Purpose: The Purchasing / Fulfillment Coordinator will form an integral part in the achievement of the Company’s operational objectives. With a strong background in purchasing and new product development, the Purchasing / Fulfillment Manager will work with the Director of Fulfillment and management team to take a proactive approach in reviewing current systems and procedures, making recommendations and implementing changes.
Scope: The Purchasing / Fulfillment Coordinator will report to the COO and will support the management team to achieve set targets during the high season. The role will have a clear project focus, supporting the purchasing function at a strategic level to help achieve objectives required to aid production of existing and new product development.
This is a full-time position.
MAIN RESPONSIBILITIES:
Purchasing
· Managing and controlling the company’s external suppliers with particular emphasis on the purchase of components and materials for production.
· Ensure components and materials are bought at the most competitive price and delivered on time for production.
· Prepare purchase orders by verifying specifications and price; obtaining recommendations from suppliers for substitute items; obtaining approval from customers.
· Verifies receipt of items by comparing items received to items ordered; resolve shipments in error with suppliers.
· Authorizes payment for purchases by coding and forwarding invoices to accounting.
· Establish relationships with key suppliers.
· Identify new suppliers and negotiate supply agreements where appropriate, including discount structures and volume rebates.
· Work closely with departments eg. Business Development, Sales, and Production.
· Monitor and forecast upcoming levels of demand.
· Continually improve purchasing methods and keep cost low.
· Any reasonable task requested by the company.
Fulfillment
· Interface with customers in the development of new products; resolve development or price conflicts.
· Download information, pictures and designs from a wide range of systems from customers.
· Work with production on projections and products being made.
· Process customer orders.
· Monitor hard goods; inventory control.
· Coordinate with carriers (Fed Ex, UPS) on volume and the type of shipping required for products.
· Monitor quality control of production.
· Prepare production reports.
QUALIFICATIONSAND EXPERIENCE:
· Degree qualified or equivalent in a business-related setting.
· Experience in a Purchasing role.
· 3 years supervisory experience.
· 2-3 years of product development experience.
· 1-2 years shipping experience.
· Prior experience working with customer orders, production and quality control a plus.
· Strong customer service skills with the understanding of the customer, their dynamics and requirements.
· High problem-solving and analytical skills to resolve new development conflicts with integrity and positive attitude.
· High competency level in use of Microsoft Office (Excel, Word, Outlook) and other computer programs such as the Web and DOS, etc.
· Proven track record of controlling and reducing external spending.
· Fully conversant with modern procurement and purchasing techniques.
· Experience in purchasing, inventory, hard goods and scheduled deliveries.
· Coordinating and managing with resolutions to Supplier Quality concerns, ensuring timely and effective containment and long-term resolution of each concern.
· Mentoring new employees, providing 'on the job' training to existing employees, and ensuring that the employees are satisfactorily supported in their day-to-day work activities.

· Bi-lingual in Spanish / English speaking skills, a plus.
· Willingness to work occasionally outside in various types of weather, with suitable clothing and footwear.
· Driving License required.
Pay: $30.00 - $35.00 per hour
