The Guest Relations Assistant ‘s duties and responsibilities include providing administrative support to ensure efficient operation of the organization. Supports staff through a variety of tasks related to organization and communication.
- Maintain the highest level of customer relations to any and all guests visiting the Art Institute. This includes being knowledgeable of classes and exhibitions currently on display as well as upcoming events. Ensuring all guests are dealt with in a timely, efficient and professional manner.
- Responsible for opening and closing the facility. This includes unlocking and locking doors, turning on lights and ensuring the public areas are ready for guests.
- Manage the day-to-day processing of transactions and funds in a timely and efficient manner. This includes gift shop sales, class registrations, exhibition entries, donations, and special event tickets. Assuring all guests are registered in the appropriate events.
- Answer and direct phone calls to appropriate staff as well as email correspondence as needed. Respond to email, telephone or face to face enquiries.
- Welcoming guests and providing them with an overview of NAI and its impact in the community.
- Provide administrative support as needed to ensure efficient and effective workflow. Handle sensitive information in a confidential manner.
- Help to maintain accurate records of donors, students, instructors and artists.
- Ensure all brochures and collateral are replenished and updated as needed.
- Assist with events after hours as needed.
- Other duties as needed or requested.
