Position Overview
The Estimating Coordinator plays a critical role in the property restoration process by performing a range of field and office duties. This includes imaging, measurements, scoping the loss, customer contact, obtaining necessary paperwork, and creating accurate and thorough estimates. The role requires onsite response to new jobs, collaboration with the Estimating HUB, and compliance management. The Estimating Coordinator is responsible for ensuring accurate and timely completion of estimates, supplements, and change orders.
- Perform imaging, measurements, and scoping of losses at job sites.
- Provide onsite response to new jobs within 1-2 hours and prepare initial estimates for upload.
- Establish and maintain contact with customers.
- Obtain work authorization and lien paperwork signatures.
- Prepare and upload Xactimate estimates based on field documentation.
- Contact and collaborate with Estimators in the Estimating HUB.
- Manage BCS and TPE compliance for jobs.
- Prepare supplement estimates and change orders.
- Review field documentation, including photographs and notes, to develop comprehensive Xactimate estimates.
- Collaborate with the Estimating HUB to finalize estimate scope, pricing, and documentation.
- Track estimate status and performance metrics using shared documentation tools, ensuring timely and accurate data entry.
- Participate in meetings with relevant teams to discuss estimate pipeline, performance, and approval trends.
- Stay current on Xactimate updates, insurance carrier requirements, and industry best practices.
- Assist in improving internal estimating procedures and documentation standards.
- Ensure all estimates adhere to internal quality standards and regulatory guidelines.Accounts Payable: sort, match, and scan invoices and check requests
- Additional duties as required.
- 2+ years of general office administration experience
- Strong math and data entry skills
- Construction or insurance industry experience preferred
- Proficiency in Microsoft Office (strong emphasis in Word & Excel)
- Ability to multitask in a fast-paced office environment
- English language literacy & fluency
- Oracle system experience ideal, including JD Edwards
- Experience with a multi-line phone system
- Customer service skills
- Strong written and verbal communication skills
Physical Requirements
- Occasional lifting from 5-40 lbs, unassisted (from 0-15% of the time).
- Sitting for extended periods of time.
- Manual dexterity needed for keyboarding and other repetitive tasks.
- The ability to bend, crouch, or stand as necessary.
