Position Summary
Bay Metals & Fabrication is seeking an Operations Coordinator to support ship repair production teams by managing administrative processes, documentation, and logistics coordination. This role enables Production Managers, Trade Managers, and Supervisors to remain focused on execution by ensuring requests, paperwork, and records are accurate, organized, and on time.
The Operations Coordinator plays a key role in maintaining production flow, document control, and overall operational support across multiple active shipyard projects.
Key Responsibilities
Production Administration
- Submit and track rigging, crane, equipment, and service requests
- Coordinate material pickups and deliveries
- Monitor request status and follow up on delays
- Escalate overdue or critical requests impacting production
Documentation Control
- Print and distribute Plans of the Day and production work packages
- Maintain controlled document files and records
- Ensure proper handling, distribution, and destruction of CUI
Objective Quality Evidence (OQE)
- Scan and file Hot Work Tickets, weld documentation, and fit-up records
- Maintain electronic records of inspections, NDT reports, and quality documents
- Ensure project documentation is complete, accurate, and organized
Training Administration
- Organize and maintain safety and quality training records
- Track certifications and maintain sign-in sheets
Production Support
- Schedule production checkpoints and maintain action item logs
- Prepare daily paperwork packages for production teams
- Support turnover documentation and reporting requirements
Office Operations
- Maintain office supplies, printers, and filing systems
- Keep office and trailer spaces clean and organized
Emergency & Ground Support
- Print muster sheets and support accountability during emergencies
- Serve as point of contact for ground support needs
- Coordinate visitors, deliveries, and site support activities
Additional Duties
- Assist with meeting coordination and documentation
- Support procurement follow-up and material tracking
- Perform other duties as assigned
Qualifications
- High school diploma or GED required
- 2+ years of administrative, operations, or project coordination experience
- Strong proficiency in Microsoft Office (Excel, Outlook, Teams)
- Excellent organizational, communication, and multitasking skills
- Ability to work in a fast-paced shipyard or industrial environment
- Ability to handle Controlled Unclassified Information (CUI) appropriately
Preferred Experience
- Ship repair, NAVSEA, or government contracting environment
- Experience supporting production or industrial teams
- Familiarity with document control and quality records

Work Environment
- Combination of office and shipyard environments
- Primarily office-based, with occasional visits to active job sites to support production teams
- May involve exposure to outdoor elements such as heat, cold, and noise during site visits
- Industrial areas may include dirt, dust, and typical shipyard conditions
- Occasional need to walk job sites, climb stairs or ladders, and navigate uneven surfaces
- Must be able to wear required personal protective equipment (PPE) when in production areas
Requirements
- Must be able to gain access to all area shipyards (DBIDS access required)

Pay: $26.50 - $31.25 per hour
