Position Summary
The Inventory Specialist & Quality Control is responsible for maintaining the integrity and accuracy of warehouse inventory through systematic cycle counts, procedural compliance oversight, and root-cause error investigation. This role serves as a key quality checkpoint within warehouse operations, ensuring that products are received, stored, and fulfilled in accordance with established company standards. The position also supports special warehouse projects and assists the receiving team as needed.
Key Responsibilities
Inventory Management & Cycle Counts
- Plan, schedule, and execute regular cycle counts across all warehouse locations and bin assignments.
- Reconcile physical inventory counts against system records and investigate all discrepancies.
- Maintain accurate, up-to-date inventory data in the warehouse management system (WMS).
- Generate and distribute cycle count reports to warehouse and operations leadership.
- Identify recurring inventory discrepancies and recommend corrective actions.
Quality Control & Procedural Compliance
- Monitor daily warehouse operations to ensure all team members are following established procedures for picking, packing, staging, and shipping.
- Conduct routine floor audits and process checks to verify SOPs are being adhered to across all shifts.
- Document compliance findings and escalate repeat violations to the Warehouse Manager.
- Assist in developing and updating standard operating procedures (SOPs) as processes evolve.
- Serve as the procedural reference point for warehouse staff with questions on proper methods.
Error Investigation & Root Cause Analysis
- Investigate every warehouse error — including mispicks, short shipments, damaged goods, and receiving discrepancies — to identify root cause.
- Document all errors with supporting detail: who, what, when, where, and how.
- Maintain an error log and track trends by team member, error type, and time period.
- Coordinate with relevant team members to implement corrective actions following each investigation.
- Report error data to management and contribute to the monthly performance review process.
Special Projects
- Support and lead special warehouse initiatives as assigned, including re-slotting, labeling projects, deep audits, and process improvement efforts.
- Collaborate with the management team on system improvements, layout changes, and new product onboarding.
- Assist with annual physical inventory preparation and execution.
Receiving Support
- Assist the receiving team during high-volume periods, staff shortages, or as directed by the Warehouse Manager.
- Verify incoming shipments against purchase orders for accuracy in quantity, item, and condition.
- Ensure received goods are properly checked in and stocked to designated locations in a timely manner.
- Identify and document vendor errors, damaged goods, or shortages upon receipt.
Qualifications
Required
- High school diploma or equivalent required.
- Minimum 2 years of experience in warehouse operations, inventory control, or a related field.
- Proficiency with warehouse management systems (WMS) or inventory software.
- Strong attention to detail and commitment to accuracy.
- Ability to work independently and manage time across multiple priorities.
- Basic computer skills including data entry and spreadsheet use (Excel or Google Sheets).
- Ability to lift up to 50 lbs and perform physical warehouse duties.
Preferred
- Experience in industrial distribution, pipe, or building materials supply preferred.
- Familiarity with cycle counting methodology and FIFO inventory principles.
- Prior experience conducting error investigations or quality audits.
- Forklift certification or willingness to obtain.
