We are seeking an organized, detail-oriented, and customer-focused Scheduling & Office Coordinator to join our team and play a critical role in supporting both our clients and caregivers.
Position Summary
The Scheduling & Office Coordinator is responsible for coordinating caregiver schedules, ensuring client staffing needs are met, and supporting the daily operations of the office. This role serves as a primary point of contact for clients, family members, caregivers, and healthcare professionals, requiring strong communication, problem-solving, and organizational skills.

Key Responsibilities Scheduling & Client Coordination
- Coordinate and manage caregiver schedules to ensure all client shifts are staffed appropriately.
- Assign caregivers based on client needs, availability, and qualifications.
- Communicate schedule changes and updates to clients, families, and caregivers.
- Develop and distribute weekly caregiver schedules through email, text, and office distribution channels.
- Meet with prospective and current clients and family members regarding care schedules, concerns, compliments, and service needs.
- Maintain accurate documentation of all client, caregiver, and family communications within the scheduling system.
Office Administration
- Welcome and assist clients, visitors, caregivers, and job applicants.
- Manage incoming calls, emails, and office communications.
- Route inquiries to the appropriate team members and provide timely follow-up.
- Maintain electronic and physical files, scanning and uploading documents as needed.
- Monitor office supplies and caregiver PPE inventory and coordinate replenishment.
- Prepare weekly operational reports, including client hours and overtime tracking.
- Support overall office efficiency and day-to-day administrative operations.
Caregiver & Team Support
- Serve as a key resource for caregivers by answering questions and addressing concerns.
- Assist with caregiver onboarding, orientation, compliance documentation, and new hire paperwork.
- Support recruiting and HR functions, including interviews and candidate processing.
- Coordinate caregiver recognition programs, appreciation events, and holiday initiatives.
- Collaborate with clinical and administrative team members to ensure quality service delivery.
- Provide backup support for on-call scheduling responsibilities as needed.
Community Engagement
- Participate in leadership and team meetings to review operations, priorities, and service needs.
- Represent the organization at community events, health fairs, and outreach activities.
- Promote home care services and provide information to potential clients and community partners.
Qualifications
- Excellent verbal and written communication skills.
- Strong organizational, scheduling, and time-management abilities.
- Ability to multitask and manage competing priorities in a fast-paced environment.
- Customer-service focused with strong problem-solving skills.
- Proficiency with Microsoft Office and scheduling/database systems.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Knowledge of HIPAA compliance and healthcare privacy regulations.
- Strong attention to detail and accuracy in documentation and reporting.
Education & Experience
- Bachelor's degree or equivalent combination of education and industry experience preferred.
- Minimum of 2 years of experience in healthcare, home care, or a related field.
- Minimum of 2 years of supervisory, scheduling, staffing, or team leadership experience.
- Experience coordinating or managing healthcare professionals preferred.
- Ability to successfully pass all required background and compliance screenings.
