Reports To: Purchasing Manager
ROLE SUMMARY
The Buyer is responsible for sourcing, ordering, and managing the materials, equipment, and supplies required to support Fireproof Contractors’ field operations. This role works closely with Project Managers, the Warehouse team, and vendors to ensure the right materials are delivered to the right place at the right time and at the best available cost. The ideal candidate understands construction material procurement and thrives in a fast-paced, project-driven environment.

ESSENTIAL DUTIES AND TASKS
- Material Procurement: Source and purchase materials, equipment, and supplies required for active construction projects. Ensure all orders align with approved job cost budgets and project specifications.
- Purchase Order Creation: Generate accurate purchase orders in Foundation Software. Verify quantities, pricing, delivery locations, and job cost coding prior to submission.
- Vendor Management: Maintain relationships with approved vendors and suppliers. Obtain competitive quotes, negotiate pricing, and evaluate vendor performance on delivery, quality, and service.
- Delivery Coordination: Coordinate material delivery schedules with Project Managers and the Warehouse team to ensure materials arrive on time and at the correct jobsite.
- Expediting: Proactively monitor open orders and expedite deliveries when project schedules are at risk. Communicate delays and alternative solutions to Project Managers immediately.
- Invoice & Receipt Verification: Confirm that delivered materials match purchase orders and that invoices are accurate before forwarding to the Purchasing Reconciler and Accounts Payable.
- Inventory Awareness: Coordinate with the Warehouse Manager to leverage on-hand inventory before placing new orders. Help maintain appropriate stock levels for high-use materials.

QUALIFICATIONS
- Experience: 2-4 years of purchasing or procurement experience, preferably in construction, specialty contracting, or a trade environment.
- Education: High school diploma or equivalent required. Associate’s or Bachelor’s degree in Business, Supply Chain, or a related field is a plus.
- Tech Stack: Experience with Foundation Software or similar construction ERP is preferred. Proficiency in Microsoft Excel required.
- Attributes: Strong negotiation and communication skills, highly organized, able to manage multiple orders simultaneously, and committed to supporting field operations without disruption.
POSITION TYPE / EXPECTED HOURS OF WORK
This is a full-time, salaried, exempt position, and workdays are Monday through Friday.
