We hire experienced professionals for roles in landscape maintenance, enhancements, snow operations, and field leadership and we are looking for an Lead Office Administrator to join our team.
PAY RANGE:
$27/hour
SHIFT:
This is Monday through Friday during standard business hours.
ROLE SUMMARY:
The Lead Office Administrator is a skilled operational professional responsible for managing a broad range of administrative functions across their assigned Branch. Administrative responsibilities span Aspire, HR, accounting, customer relations, office management, and branch operations. This role requires attention to detail, cross-functional coordination, and the ability to support both colleagues and partnership teams with accuracy and professionalism.
JOB RESPONSIBILITIES:
- Receive and submit PTO requests in Inova on behalf of employees
- Ensure new hires in hourly positions complete all onboarding paperwork timely
- Liaison with partnership team members to communicate IT equipment and/or uniform needs at the Branch
- Support managers in completing documentation for new hires, terminations or compensation adjustments
- Submit payroll and benefit updates, including PAFs, to Payroll
- Assist with work authorizations (Form I-9s) and employee recordkeeping
- Assist with incident reporting (safety, compliance, workers compensation) and follow up correspondance
- Receive and distribute paper paychecks; assist with employee reimbursements and issue resolution
- Assist with additional tasks as needed for contract support, accounting, customer relations, and office adminstrative tasks
JOB QUALIFICATIONS:
- Associate degree or higher in relevant field preferred but not required
- 3+ years of administrative experience, preferably in field services, landscaping, or construction
- Proficiency in Aspire or similar field operations software preferred
- Strong working knowledge of Microsoft Office Suite
- Experience with AR/AP processes and basic accounting functions
- Excellent organizational, communication, and multitasking skills
- Bilingual (English/Spanish) preferred but not require
