Position Summary
The Bar & Beverage Manager is responsible for the overall operation, compliance, inventory control, staffing, and financial accountability of all bar, lounge, and beverage-related activities of the Post. This position ensures compliance with Maryland alcohol and gaming laws while maintaining a safe, welcoming, and Veteran-focused atmosphere for members and guests.
Reporting Structure
Reports To: Operations Committee Chairperson / Post Executive Committee (PEC)
Supervises: Bartenders, bar support staff, and assigned janitorial personnel
Works Closely With: Finance Officer, Commander, Adjutant, Accountant, Food Service and Kitchen Manager
Core Responsibilities
Leadership & Oversight
- Provide day-to-day leadership of bar and lounge operations.
- Promote professionalism, accountability, and excellent customer service.
- Assist the Operations Committee with operational issues, staffing concerns, and incident response.
- Attend PEC, Operations Committee, and Membership Meetings as requested.
- Foster a positive and respectful environment for Veterans, members, guests, and employees.
Compliance & Licensing
Ensure full compliance with:
- Maryland Alcoholic Beverage laws
- Frederick County Liquor Board regulations
- Maryland and Frederick County gaming laws and regulations
- Post Constitution and Bylaws, Standing Rules, and Employee Handbook policies
Maintain required certifications:
- TIPS/TAM/ABLE certifications
- Ensure adequate certified bartenders are scheduled at all times
- Ensure required certifications are displayed in accordance with regulations
- Report violations or incidents to the PEC and liquor license holders immediately
Financial Controls & Cash Management
Works closely with and at the direction of the Post Finance Officer to follow all Post Financial and cash handling policies and procedures, to include:
- Enforce cash handling and POS procedures
- Prepare Daily Cash Receipt/Sales Reports
- Account for bar sales, gaming receipts, ATM, jukebox, and other third-party income
- Investigate and report cash shortages or discrepancies
- Prepare and secure daily deposits
- Manage bar-related petty cash funds
- Submit all financial documentation, shortages and discrepancies, to the Finance Officer promptly
Beverage Inventory & Purchasing
- Maintain inventory of beer, liquor, wine, mixers, ice, and bar supplies
- Order products while controlling costs and minimizing waste
- Monitor cost of goods sold
- Verify deliveries against invoices
- Submit invoices for payment approval
- Participate in monthly liquor inventory counts
Staffing & Human Resources
- Recruit, train, supervise, and schedule bartenders and bar staff
- Maintain staffing schedules for daily operations and events
- Conduct performance coaching and disciplinary actions in accordance with the Employee Handbook
- Submit payroll hours and tip documentation weekly
- Ensure employee appearance and conduct meet Post standards
Daily Operational Duties
- Oversee opening and closing bar procedures
- Ensure cleanliness of bar areas, lounge, coolers, restrooms, and related facilities
- Monitor cooler temperatures and equipment functionality
- Supervise gaming and lottery activities where applicable
- Address customer concerns professionally and promptly
Hall Rentals & Events/Entertainment
- Coordinate/schedule Hall and Pavillion Rentals and maintain all contracts
- Coordinate bar staffing and beverage service for events and rentals
- Coordinate with Food Service and Kitchen Manager for Catering as requested
- Assist with event preparation and operations
- Enforce Post policies regarding alcohol and gaming service during functions
Facilities & Asset Care
- Oversee maintenance of:
- Bar equipment
- Gaming equipment
- Entertainment systems
- Beverage storage areas
- Report repair needs and improvement recommendations to the Operations Committee
Safety & Security
- Enforce responsible alcohol service
- Refuse service when necessary
- Respond to disturbances, accidents, and security concerns
- Document incidents and notify leadership as required
Qualifications
Required
- Prior bar or beverage management experience
- Knowledge of Maryland alcohol laws
- Strong leadership and communication skills
- Ability to handle cash and confidential information
Preferred
- Experience in a Veterans organization, nonprofit, or private club
- POS and QuickBooks experience
- Knowledge of gaming laws and regulations
Physical Requirements
- Ability to stand for extended periods
- Ability to lift up to 40 lbs.
Other
- Additional duties may be assigned by the Post Executive Committee
- Employment is at-will in accordance with Maryland law and Post policy
- Background check and drug screen required prior to hiring
Benefits and Compensation
- Full-time salaried management position (Minimum 30 hours per week) – Normal schedule primarily daytime hours; however, flexibility maybe required occasionally to oversee evening activities, special events, rentals and operational needs of the post.
