About Us
Beauty Exchange is a growing beauty supply retailer with multiple locations across the Southeast. We're looking for a dependable, organized, and proactive Administrative Assistant to support our leadership team with day-to-day administrative tasks, project coordination, marketing support, and special initiatives.
This position is ideal for someone who enjoys variety, loves staying organized, and thrives in a fast-paced environment. No two days are exactly the same, so we're looking for someone who is flexible, eager to learn, and ready to jump in wherever they're needed.
Responsibilities
- Manage calendars, schedule meetings, appointments, and virtual calls.
- Help keep the leadership team organized by tracking schedules, priorities, deadlines, and upcoming commitments.
- Monitor emails and assist with follow-ups to ensure important tasks don't get overlooked.
- Prepare spreadsheets, reports, presentations, and other business documents.
- Perform data entry and maintain organized digital files and records.
- Coordinate meetings by preparing agendas, taking notes, and tracking action items when needed.
- Assist with travel arrangements and scheduling logistics as needed.
- Support marketing projects by organizing content, coordinating with team members, gathering store information, and helping keep campaigns on schedule.
- Conduct online research for products, vendors, competitors, and business initiatives.
- Communicate with stores, vendors, and internal team members to gather information and follow up on outstanding items.
- Assist with special projects and miscellaneous administrative tasks that help the leadership team stay focused on higher-level priorities.
- Help anticipate upcoming needs by keeping leadership informed of schedules, deadlines, and important follow-ups.
- Learn new systems and processes to help improve efficiency and keep projects moving forward.
Qualifications
- Previous administrative, office, or assistant experience preferred.
- Strong organizational and time-management skills with excellent attention to detail.
- Excellent written and verbal communication skills.
- Comfortable using Microsoft Office and Google Workspace.
- Ability to prioritize multiple tasks and adapt in a fast-paced environment.
- Self-motivated with strong problem-solving skills.
- Professional, dependable, and positive attitude.
- Ability to handle confidential information with discretion.
- Reliable transportation for in-person workdays.
- Experience with Canva, Shopify, ClickUp, or other project management software is a plus, but not required.
- Familiarity with AI tools such as ChatGPT, Claude, or similar platforms is a plus. We value candidates who are comfortable using technology to improve efficiency, organization, and productivity.
