Alabama Surgical Arts is seeking an experienced, energetic, and highly organized Cosmetic Medical Assistant to join our growing aesthetic and surgical practice. This position is ideal for someone who enjoys patient interaction, thrives in a fast-paced environment, and takes pride in providing an exceptional patient experience from consultation through recovery.
Our Cosmetic Medical Assistant will work closely with our physician, registered nurses, surgical team, and patient coordinators. This individual must be comfortable assisting with both clinical and administrative responsibilities and should be willing to step in wherever needed to keep the practice running smoothly.
Position Overview
The Cosmetic Medical Assistant plays an important role in preparing patients for appointments and procedures, assisting providers during clinical visits, documenting patient care, maintaining treatment rooms, and helping patients feel informed and comfortable throughout their experience.
Because we specialize in cosmetic surgery, aesthetic treatments, wellness services, and postoperative care, the ideal candidate must be professional, detail-oriented, compassionate, and comfortable discussing elective treatments with patients.
Primary ResponsibilitiesPatient Care and Clinical Support
- Greet patients warmly and escort them to the appropriate consultation or treatment room.
- Obtain and document vital signs, medical history, current medications, allergies, surgical history, and other required health information.
- Review patient intake forms and alert the provider or nurse to missing information or potential concerns.
- Prepare patients for examinations, consultations, treatments, and postoperative appointments.
- Assist the physician, registered nurse, or other licensed provider during patient examinations and in-office procedures.
- Provide patients with provider-approved preoperative and postoperative instructions.
- Reinforce previously established care instructions without independently diagnosing, prescribing, or altering the patient’s treatment plan.
- Respond appropriately to patient concerns and promptly notify the physician or registered nurse when clinical assessment is needed.
- Maintain patient dignity, comfort, privacy, and confidentiality throughout every interaction.
- Help monitor patient flow and communicate delays or scheduling concerns to the appropriate team members.
Cosmetic Consultations and Treatments
- Prepare consultation rooms and ensure all necessary supplies, educational materials, consent forms, and photography equipment are available.
- Assist during cosmetic surgery, injectable, skincare, laser, body-contouring, wellness, and postoperative consultations as directed.
- Take standardized preoperative, postoperative, and treatment-progress photographs according to practice protocol.
- Ensure photographs are properly labeled, uploaded, and stored in the correct patient chart.
- Prepare patients and treatment areas for non-surgical aesthetic services.
- Set up supplies and assist licensed providers during neurotoxin, dermal filler, laser, skincare, and other aesthetic procedures within the medical assistant’s authorized scope.
- Review provider-approved skincare recommendations and product instructions with patients.
- Help coordinate treatment plans, follow-up appointments, and required clinical documentation.
- Maintain a polished and discreet environment appropriate for a cosmetic surgery practice.
Surgical and Preoperative Support
- Assist with preparing patients for preoperative appointments and surgical clearances.
- Verify that required laboratory results, medical clearances, consent forms, photographs, prescriptions, and surgical paperwork are present in the patient’s chart.
- Help prepare and organize surgical packets according to practice protocol.
- Notify the appropriate team member when required documentation or testing is incomplete.
- Assist with stocking and preparing preoperative, procedure, and recovery areas.
- Help obtain patient supplies, garments, medications, or postoperative materials as directed.
- Assist with room turnover and preparation between patients.
- Follow all infection-control, sterilization, and safety protocols.
- Provide non-sterile assistance to the surgical team when permitted by training, certification, state law, and practice policy.
- Assist with postoperative visits, dressing supplies, photography, and patient education under the supervision of the physician or registered nurse.
Documentation and Communication
- Accurately document patient information, vital signs, photographs, communications, instructions, and services in the electronic medical record.
- Ensure documentation is completed promptly and entered into the correct patient chart.
- Maintain accurate records of consent forms, product information, implant or graft stickers, and other procedure-specific documentation.
- Communicate patient questions and concerns to the appropriate clinical or administrative team member.
- Return patient calls and messages as assigned, using provider-approved information and established protocols.
- Maintain strict compliance with HIPAA and patient-confidentiality requirements.
- Assist with gathering records, laboratory results, medical clearances, and other required clinical documents.
- Help ensure that patient charts are complete before consultations, treatments, preoperative appointments, and surgical procedures.
Treatment Rooms, Supplies, and Equipment
- Clean, disinfect, stock, and prepare examination and treatment rooms before and after each patient.
- Maintain organized clinical workspaces and ensure supplies are stored properly.
- Monitor inventory levels and notify the appropriate team member before supplies become critically low.
- Check expiration dates and rotate clinical supplies according to practice policy.
- Clean and maintain equipment according to manufacturer instructions and office protocols.
- Report damaged, missing, or malfunctioning equipment immediately.
- Follow proper procedures for sharps disposal, biohazardous waste, medication storage, and hazardous materials.
- Help maintain required cleaning, temperature, medication, and equipment logs.
- Participate in opening and closing clinical duties.
Additional Responsibilities
- Support front-office operations when needed, including answering phones, scheduling appointments, checking patients in or out, and collecting required forms.
- Help coordinate communication between patients, providers, pharmacies, laboratories, and outside medical offices.
- Assist with product inventory, patient purchases, and skincare recommendations within established practice guidelines.
- Participate in staff meetings, training sessions, safety education, and continuing education.
- Follow all practice policies, OSHA requirements, infection-control standards, and emergency procedures.
- Maintain a clean, professional appearance and a positive attitude.
- Assist in other areas of the practice when patient care or daily operations require additional support.
- Perform other duties assigned by the physician, clinical supervisor, or practice management.
QualificationsRequired
- High school diploma or equivalent.
- Excellent written and verbal communication skills.
- Strong organizational skills and close attention to detail.
- Ability to document accurately and use an electronic medical record system.
- Ability to maintain professionalism when discussing sensitive medical or cosmetic concerns.
- Ability to work efficiently in a fast-paced environment while maintaining a high standard of patient care.
- Reliable attendance, punctuality, and the ability to follow through on assigned responsibilities.
- Ability to remain calm, helpful, and professional when schedules change or unexpected situations arise.
Preferred
- Current Certified Medical Assistant or Registered Medical Assistant credential.
- Previous experience in plastic surgery, cosmetic surgery, dermatology, aesthetics, women’s health, surgery, or another procedure-based medical practice.
- Experience assisting with cosmetic consultations, postoperative appointments, skincare treatments, laser procedures, or minor in-office procedures.
- Experience taking standardized clinical photographs.
- Experience with electronic medical records and medical scheduling software.
- Phlebotomy experience or certification.
- Experience handling surgical paperwork, laboratory results, medical clearances, and preoperative documentation.
- Knowledge of HIPAA, OSHA, bloodborne-pathogen standards, infection prevention, and sterile technique.
