Elizabeth Catherine Rest Home is seeking an experienced, highly organized, and motivated Administrative Assistant to support the daily operations of our residential care facility. Working closely with the Facility Manager and leadership team, you'll play a key role in keeping the office organized, supporting residents and staff, and ensuring smooth day-to-day operations.
This is not an entry-level position. We're looking for a confident self-starter who can take ownership of the role, work independently, solve problems, manage multiple priorities, and keep projects moving with minimal supervision. The ideal candidate is dependable, professional, adaptable, and thrives in a fast-paced environment.

Responsibilities
- Provide administrative support to the Facility Manager and leadership team.
- Answer phones, greet visitors, and provide excellent customer service to residents, families, vendors, and referral sources.
- Assist with resident admissions, discharges, and required documentation.
- Maintain paper and electronic resident, employee, and facility files with accuracy and confidentiality.
- Organize and maintain compliance records, audits, incident reports, investigations, and regulatory documentation.
- Prepare correspondence, reports, forms, and spreadsheets.
- Perform accurate data entry and maintain organized electronic filing systems.
- Assist with employee scheduling, onboarding, orientation, and training documentation.
- Order office and resident supplies and maintain inventory.
- Assist with bookkeeping, invoices, payroll preparation, and other administrative functions as needed including accounts payables and receivables.
- Support the Manager with special projects and perform other duties as assigned.
Qualifications
- Previous administrative or office management experience required.
- Clinical, assisted living, long-term care, medical office, or healthcare experience is highly desirable.
- Must be highly organized and able to prioritize multiple responsibilities.
- Excellent verbal and written communication skills.
- Professional phone etiquette and strong customer service skills.
- Ability to work independently, exercise good judgment, and maintain confidentiality.
- Strong attention to detail and excellent follow-through.
- Must be proficient with Google Drive, Google Docs, Google Sheets, and Google Files.
