We are looking for an Accounts Receivable Clerk to support day-to-day billing operations for a busy team in Hartland, Wisconsin. This Long-term Contract opportunity is part-time, onsite, and offers the chance to manage a steady mix of recurring service invoices and project-based billing activities. The ideal candidate will bring strong accounts receivable experience, excellent attention to detail, and the ability to keep payment activity aligned with project progress and service completion.
Responsibilities:
- Prepare and distribute invoices for recurring service work as well as project-related engagements, ensuring each billing document is complete and accurate.
- Record, reconcile, and monitor customer deposits, with particular attention to construction and milestone-driven projects.
- Track billing stages throughout the lifecycle of active jobs and follow up on scheduled invoice events as work progresses.
- Issue tenant utility invoices and confirm charges are submitted on time and supported by the appropriate documentation.
- Apply incoming payments for larger-scale projects and maintain accurate records of balances, activity, and outstanding amounts.
- Review internal notes and scheduling details to identify billing triggers, update invoice timing, and respond to changing job status information.
- Oversee invoice flow across a high-volume service environment, supporting monthly billing output while maintaining consistency and accuracy.
- Use tools such as HubSpot, Jobber, and Google Workspace to manage receivables activity, organize records, and coordinate administrative tasks related to billing.
- At least 3 years of experience in accounts receivable, billing, or a closely related accounting support role.
- Practical experience with commercial collections, cash applications, and payment tracking in a business environment.
- Ability to manage both high-volume transactional invoicing and phased billing for longer-term projects.
- Proficiency with HubSpot and confidence working in invoicing or dispatch platforms such as Jobber or similar systems.
- Strong administrative and organizational skills with the ability to interpret notes, schedules, and service updates accurately.
- High attention to detail and the ability to maintain precise financial records with minimal oversight.
- Comfortable working onsite in Hartland, Wisconsin for a part-time schedule of approximately 16 to 20 hours per week.
