Responsibilities
- Greet visitors warmly and direct them appropriately, ensuring a positive first impression.
- Manage multi-line phone systems with professionalism, answering inquiries promptly and routing calls efficiently.
- Maintain accurate records through data entry, filing, and updating spreadsheets using productivity software such as Microsoft Office and Google Workspace.
- Handle calendar management and appointment scheduling for staff or departments as needed.
- Support office management tasks including supply inventory, document proofreading, and general clerical duties.
- Provide excellent customer support by addressing inquiries via phone or in person with courteous phone etiquette.
- Assist with bookkeeping tasks using QuickBooks or similar accounting tools to ensure accurate financial records.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Strong computer literacy with excellent typing speed and data entry accuracy.
- Experience with multi-line phone systems and professional phone communication skills.
- Bilingual abilities are highly valued to serve diverse client needs effectively.
- Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Knowledge of office management procedures, filing systems, and clerical best practices.
- Customer service experience with a focus on client communication and support.
