Our growing insurance defense firm is seeking an experienced Billing Coordinator to lead our billing department. This is a hands-on leadership role for someone who will take ownership of the billing process from start to finish, ensuring accuracy, compliance, and maximum recovery of billable time.
We are a primarily insurance defense practice with clients who require LEDES-format billing through platforms such as LEX, Legal-X, LSS, Tymetrix, CaseGlide, and others. The right candidate will not only manage billing operations but also review entire case files to capture all billable time, including communications, document handling, and calendared events.
Key Responsibilities
- Lead the billing department under the direction of the Principal Attorney and Director of Operations.
- Oversee all billing activities for assigned attorneys and complex client matters.
- Process billing requests, adjustments, discounts, and template changes.
- Configure and maintain e-billing profiles with assigned vendors, including matter setup, timekeeper/rate approvals, and compliance with client billing guidelines.
- Review case files to identify and capture all billable activities.
- Monitor accounts receivable (AR) and unbilled time/costs, ensuring timely billing and payment.
- Follow up on reduced or rejected invoices and resolve issues proactively.
- Provide reports and respond to billing-related information requests from attorneys, clients, and staff.
- Maintain confidentiality and uphold firm policies and procedures.
Required Skills & Experience
- Minimum 5 years of legal billing experience, preferably in insurance defense.
- Strong expertise in LEDES billing and multiple e-billing platforms (Tymetrix360, Legal-X, LEX, CaseGlide, etc.).
- Advanced skills in Aderant Expert billing software.
- Proficiency in MS Office with advanced Excel skills (vlookups, pivot tables, external data sources).
- Excellent communication skills, with the ability to explain complex billing issues clearly.
- Strong organizational skills and attention to detail.
- Proven ability to build positive working relationships and lead a team effectively.
- Bachelor’s degree preferred.
