Job Overview
We are seeking a dynamic and detail-oriented Accounts Receivable & Construction AIA Billing Specialist to join our finance team. In this role, you will be responsible for managing the full cycle of accounts receivable processes, ensuring accurate and timely billing for construction projects, and maintaining compliance with financial standards. Your expertise will support the company's revenue cycle management and contribute to the overall financial health of the organization. This position offers an exciting opportunity to work with diverse accounting systems. Will be cross-trained in various accounting and administrative functions to provide backup support, ensure workflow continuity, and assist the team as business needs require.
Duties
- Manage accounts receivable functions, including invoice creation, tracking, and collection efforts to optimize cash flow.
- Prepare and process construction AIA project billing, ensuring accuracy in line with project milestones and contractual terms.
- Conduct detailed account analysis, including journal entries, account reconciliation, and review of aging reports.
- Collaborate with project managers and clients to resolve billing discrepancies through effective negotiation and customer service skills.
- Utilize Excel data analysis techniques, including formulas and pivot tables, to generate reports that support financial decision-making.
- Assist with accounts payable processes when necessary, supporting overall corporate accounting functions.
- Ensure accurate data entry within various accounting systems while maintaining high attention to detail in a fast-paced environment.
Additional Responsibilities
Tax Compliance & Reporting
- Prepare, review, and submit monthly and quarterly tax filings as required by federal, state, and local agencies.
- Maintain compliance with sales and use tax requirements in multiple jurisdictions, may include Nevada, Arizona, New Mexico, Texas, California, and other states as business operations require.
Assist with preparation and filing of:
- Nevada Sales & Use Tax
- Arizona Transaction Privilege Tax (TPT)
- New Mexico Gross Receipts Tax (GRT)
- State and local withholding reports
- Employer tax filings
- Municipal tax filings and registrations
- Track tax filing deadlines, business licenses, contractor registrations, and compliance requirements across multiple states and municipalities.
- Maintain records of filing confirmations, tax payments, permit renewals, and compliance documentation.
- Coordinate with management, payroll, CPA firms, and government agencies regarding tax notices, audits, registrations, and compliance matters.
- Assist with quarterly payroll tax reporting, unemployment filings, modified business tax filings, and annual reporting requirements as assigned.
- Support the maintenance of company compliance calendars, licensing trackers, and multi-state reporting requirements.
Qualifications
- Proven experience in accounting or finance roles with a focus on accounts receivable management, construction AIA billing, or related fields.
- Strong understanding of financial concepts such as debits & credits, journal entries, account reconciliation, and double-entry bookkeeping.
- Excellent analytical skills paired with strong attention to detail for accurate account analysis and reconciliation tasks.
- Effective negotiation skills coupled with outstanding phone etiquette and customer service abilities for client interactions.
- Ability to handle multiple priorities efficiently while maintaining accuracy in data entry and financial reporting tasks.
- Construction industry accounting and AIA billing experience.
- AIA billing and Schedule of Values (SOV) billing.
- Multi-state sales tax and compliance reporting.
- Accounts receivable, collections, and customer invoicing.
- Foundation Software experience preferred.
- Strong Microsoft Excel skills.
- Ability to manage multiple deadlines in a fast-paced environment.

Pay: $25.00 - $28.00 per hour
