What you'll be doing:
Own end-to-end payroll processing, payroll accounting, compliance, and audit support to ensure employees are paid accurately and on time while maintaining regulatory compliance and strong financial controls.
Core Responsibilities
Payroll Processing & Operations
- Process multi-state U.S. and Canadian payroll accurately and on schedule
- Review, audit, and approve employee timecards
- Perform payroll maintenance including earnings, deductions, and adjustments
- Manage new hire payroll setup and employee payroll changes (in coordination with HRIS)
- Process employee corrections, off-cycle payments, and retro pay
- Administer garnishments and other statutory deductions
- Ensure payroll data accuracy prior to final processing
- Coordinate payroll-related system activities with HRIS
Payroll Accounting & Financial Support
- Prepare and deliver payroll reports to Finance
- Support GL postings and payroll account reconciliations
- Maintain and update payroll-related GL mappings
- Perform month-end and quarter-end payroll reconciliations
- Support cash flow reporting related to payroll funding
- Provide payroll data for financial reporting and audits
Tax & Regulatory Compliance
- Manage payroll tax setup, updates, and compliance
- Process year-end filings including W-2s and Canadian forms
- Support ACA compliance reporting
- Prepare BLS reporting and other government-required submissions
- Process RRSP contributions (Canada)
- Support OSHA / EEO reporting with payroll-related data
Benefits & Retirement Payroll Processing
- Process 401(k) contributions and remittances
- Produce and validate 401(k) files
- Process HSA / FSA payroll deductions and file outputs
Audit & Compliance Coordination
- Support payroll audits
- Coordinate payroll-related data requests
- Lead workers' compensation audit support
- Support 401(k) audits
- Provide payroll-related data extracts
What we are looking for:
- Bachelor's degree in Accounting, Finance, HR, or related field preferred
- 3–5+ years of payroll processing experience
- Experience with multi-state and Canadian payroll preferred
- Knowledge of payroll tax laws and compliance regulations
- Experience with payroll systems (UKG preferred)
- Strong Excel and data analysis skills
- High level of accuracy and attention to detail
- Ability to handle confidential information with discretion
