Job Description
We are seeking a dependable, organized, and detail-oriented Administrative Medical Assistant to join our fast-paced pain management practice. This position is primarily administrative with limited clinical responsibilities as needed.
The ideal candidate is someone who can effectively manage multiple responsibilities, stay organized, follow through on outstanding tasks, and communicate professionally with patients, healthcare providers, attorneys, insurance companies, and disability representatives. This position requires someone who is proactive, efficient, and able to work independently while maintaining accuracy in a high-volume environment.
Responsibilities
- Process, obtain, and manage medical records from physician offices, hospitals, imaging centers, attorneys, law firms, insurance companies, disability agencies, and other healthcare organizations.
- Monitor outstanding medical records requests and follow up to ensure timely completion.
- Review referrals and prepare new patient charts for provider review.
- Schedule new patient consultations.
- Answer and manage a high-volume phone queue while providing excellent customer service.
- Complete and track insurance prior authorizations for new patient referrals as needed.
- Prepare and process invoices and maintain accurate administrative records in QuickBooks
- Maintain accurate patient documentation within eClinicalWorks.
- Track pending tasks, referrals, records requests, authorizations, and other administrative items to ensure nothing is overlooked.
- Communicate professionally with patients, referring providers, attorneys, case managers, and insurance representatives.
- Assist with rooming patients and obtaining vital signs as needed.
- Maintain patient confidentiality and HIPAA compliance.
Qualifications
- Minimum 2 years of medical office experience required.
- Experience with medical records, prior authorizations, scheduling, or referrals preferred.
- eClinicalWorks experience preferred.
- Quickbooks experience appreciated.
- Strong knowledge of medical terminology.
- Excellent communication and customer service skills.
- Exceptional organizational skills with strong attention to detail.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Self-motivated, dependable, and able to work independently.
- Reliable, professional, and team-oriented.
Schedule
- Full-time
- Monday through Friday
- Typically 9:00 AM - 5:00 PM or 8:00 - 4:00 PM
