Job Overview
We are seeking a friendly, organized, and professional Patient Access & Business Office Coordinator to join our team at a free-standing Ambulatory Surgery Center (ASC) in Peoria, Arizona. In this critical patient-facing role, you will serve as the first point of contact for patients, families, and visitors while maintaining strict adherence to HIPAA privacy and security standards. You will help ensure a smooth, efficient, and positive experience from arrival through departure while supporting the administrative needs of our high-quality outpatient surgical facility.
Key Responsibilities
- Greeting patients and visitors in a warm, professional manner and providing excellent customer service while protecting Protected Health Information (PHI)
- Manage patient check-in and check-out processes, including collecting co-pays, deductibles, and outstanding balances discreetly
- Verify insurance eligibility, benefits, and obtain authorizations prior to procedures, using the minimum necessary PHI and all tools/portals available.
- Accurately enter and update patient demographic and insurance information in the electronic health record (EHR) system
- Keep billing office/service updated with new information on existing patients.
- Schedule surgeries, pre-op appointments, and follow-up visits while coordinating with clinical staff
- Answer multi-line phone system, respond to inquiries, and route calls appropriately; verify caller identity using at least two identifiers before discussing PHI
- Prepare and maintain patient charts and necessary documentation for daily cases
- Collect and process require forms, consents, and patient paperwork keeping the EMR always updated with this information and any changes to include Driver’s Licenses and Insurance cards.
- Assist with billing questions and coordinate with the billing department/service as needed
- Maintain a clean, organized, and welcoming front desk and waiting area
- Monitor and manage patient flow to minimize wait times and ensure timely procedures
- Balance daily cash collections, keeping secure until provided to facility Administrator for deposit.
- Receive/reconcile medical supply orders to ensure accurate delivery, supplying all packing slips and invoices to account for processing. Communicating any discrepancies immediately to the Administrator.
- After approval from Administrator, order and receive office supplies.
- Maintain incoming faxes, dispersing to the appropriate areas/persons.
- Check and disperse incoming mail to appropriate individuals/departments.
- Track and process any VCC’s received into the center by mail/fax/email.
Experience
Qualifications & Requirements
- High School Diploma or GED required; Associate’s or Bachelor’s degree preferred
- Minimum 2-3 years of experience in an ASC, medical office, healthcare setting, (ASC or surgical center experience strongly preferred)
- Demonstrated understanding of HIPAA regulations and commitment to patient privacy and confidentiality
- Familiarity with medical terminology
- Strong background/knowledge in the insurance verification process
- Proficient with EHR/EMR systems and Microsoft Office Suite. HST strongly preferred.
- Strong experience with the payer portals for authorizations/eligibility
- Excellent verbal and written communication skills with a high level of attention to detail
- Strong organizational skills with the ability to multitask in a fast-paced environment
- Professional appearance and demeanor
- Must be reliable, punctual, and able to work Monday–Friday daytime hours (occasional early mornings or evenings may be required, 1 Saturday per month).
- Current BLS certification or willingness to obtain within 30 days of hire
- Must sign a Confidentiality Agreement and HIPAA acknowledgment upon hire
- Office experience demonstrating proficiency with computer systems and office equipment
- Experience in a healthcare setting that involves direct patient interaction is a plus

Pay: $22.00 - $32.00 per hour
