The Opportunity
We’re looking for a sharp, organized, tech-savvy Real Estate Operations & Administrative Coordinator to become the backbone of our team. You’ll own listing coordination, manage our technology platforms, support our coaching community (SOAR), and run our past-client marketing systems.
This role is designed to grow. The right person will evolve into an Executive Assistant or Operations Manager as we scale. If you’re someone who sees chaos and wants to build a system for it - we want to meet you.
What You’ll Own
Listing & Transaction Coordination
- Manage listings end-to-end in MLS (Metrolist): input, compliance, and updates
- Coordinate signage, Supra boxes, flyer boxes, open houses, and broker events
- Complete AVIDs, support the Transaction Coordinator, and assist with closings
- Meet inspectors, assist with walkthroughs, and handle key delivery when needed
Technology & Systems
- Serve as point person for our tech stack: ClickUp, Follow Up Boss, HighLevel, Sisu, Rezen, RealScout, AgentFire, Slack, Shilo.ai, and more
- Build and document SOPs, workflows, and checklists
- Support CRM organization, lead source verification, and reporting
- Leverage AI tools to improve team efficiency
SOAR Community & Coaching Platform
- Manage the backend of our Skool community and Amen Connect platform
- Coordinate HighLevel workflows and member onboarding
- Upload and organize content, recordings, and training resources
- Support SOAR events and ensure a professional member experience
Past Client Marketing
- Execute email, text, postcard, and call campaigns through Follow Up Boss and HighLevel
- Manage client segmentation, tagging, and database accuracy
- Coordinate client appreciation events and referral follow-up systems
- Track and report campaign performance
Office & Team Operations
- Keep the office organized, stocked, and running smoothly
- Screen calls, manage mail, coordinate vendors (IT, copier, alarm, internet)
- Prepare materials for EOS Level 10 meetings, run slides, and maintain agendas
- Support agent onboarding, training coordination, and records management
Who You Are
- 3–5 years of administrative, operations, or executive support experience
- Highly organized with strong attention to detail and follow-through
- Tech-savvy and fast to learn new platforms (you actually enjoy it)
- A clear communicator who can work independently without hand-holding
- Comfortable wearing many hats in a fast-paced, in-office environment
- Real estate experience is a plus - but a systems mindset matters more
- Proficient in Google Workspace; experience with CRMs or project management tools (ClickUp, Asana, etc.) strongly preferred
