Responsibilities
- Welcome and check in patients and families with a friendly and professional attitude.
- Answer multiple phone lines and respond to emails and text messages promptly.
- Schedule, confirm, and reschedule patient appointments.
- Coordinate therapist schedules to maximize productivity.
- Verify insurance eligibility and benefits.
- Request and track prior authorizations and referrals.
- Contact physician offices to obtain prescriptions, referrals, and required documentation.
- Maintain communication with insurance companies regarding patient coverage.
- Collect copayments, deductibles, private-pay balances, and maintain accurate payment records.
- Track outstanding patient balances and assist with payment follow-up.
- Maintain accurate electronic patient records.
- Scan, upload, and organize documentation into patient charts.
- Assist families with intake paperwork and clinic policies.
- Coordinate communication between therapists, physicians, schools, and caregivers.
- Monitor daily schedules, cancellations, and waitlists.
- Support administrative projects as assigned.
- Maintain a clean, organized, and welcoming reception area.
Qualifications
- Bilingual (English/Spanish) required.
- Previous medical office experience preferred.
- Experience verifying insurance benefits is highly preferred.
- Excellent customer service and communication skills.
- Strong organizational and multitasking abilities.
- Comfortable working in a fast-paced environment.
- Detail-oriented with strong follow-through.
- Proficient with computers and Microsoft Office.
- Ability to maintain confidentiality (HIPAA compliance).
- Positive attitude and willingness to learn.
Preferred Experience
- Pediatric therapy or medical office experience.
- Medicaid and commercial insurance verification.
- Prior authorization processing.

Pay: $19.00 - $24.00 per hour
