We are a full-service law firm with an emphasis on native American law and personal injury, dedicated to delivering exceptional legal services with professionalism and care. We are seeking a proactive, professional and highly organized Legal Secretary/Paralegal to join our team.
Duties
Legal & Clerical Support:
- Answer and direct phone calls in a professional and courteous manner.
- Conduct new client intakes and assist with opening and organizing new case files.
- Establish and manage insurance claims with insurance carriers.
- Request and obtain police reports, medical records, billing records, liens, and other case-related documentation.
- Prepare and send correspondence, letters of representation, and requests to insurance carriers, medical providers, hospitals, lienholders, and other third parties.
- Communicate with insurance companies, clients, medical providers, and other law firms via phone and email.
- Research, identify, and follow up on medical and health insurance liens, including Medicare, Medicaid, ERISA, and private health insurance liens, as applicable.
- Assist attorneys with drafting and preparing legal documents, settlement demands, correspondence, and other case-related materials.
- Manage filing, data entry, and document organization within the firm's case management system.
- Maintain accurate case files, monitor deadlines, and ensure timely follow-up on outstanding requests.
- Ensure efficient administrative workflows by maintaining organized records and communication channels.
- Anticipate attorneys' needs and proactively handle tasks to support the firm's daily operations.
- Ability to travel twice per year for firm meetings and coordinate all meeting logistics, including planning and organization.
Office & Administrative Support
- Assist with the day-to-day administrative operations of the office to ensure an efficient and organized work environment.
- Run business-related errands, including making bank deposits, delivering and picking up documents, and other office-related tasks as needed.
- Maintain accurate records of deposits, payments, receipts, and other administrative transactions.
- Monitor and maintain office supplies, including ordering paper, toner, ink, and other necessary materials.
- Keep printers, copiers, and other office equipment stocked and functioning, and coordinate service calls when necessary.
- Organize and maintain the office kitchen by stocking snacks, beverages, coffee, and other refreshments.
- Maintain a clean, organized, and professional office environment for clients and staff.
- Assist with receiving, sorting, and distributing mail and deliveries.
- Help identify and address administrative needs before they become issues by taking a proactive approach to office management.
- Perform other administrative and operational duties as assigned to support the firm's daily operations.
Experience And Skills:
- 3+ years of experience in personal injury law
- Bachelor's degree or paralegal degree
- Highly organized with exceptional attention to detail and the ability to manage multiple priorities effectively.
- Excellent written and verbal communication skills, both in person and over the phone.
- Ability to multitask effectively while maintaining a professional and positive demeanor.
- A strong customer service mindset with a commitment to providing exceptional client experiences
- Positive, respectful, and professional attitude with a strong work ethic.
- A solutions-oriented mindset and the ability to take ownership of responsibilities and follow through on commitments.
- Proficiency with Filevine, Word documents, Excel, Adobe, etc.
- Bilingual (preferred) - Ability to speak English and Spanish
Pay: $24.00 - $33.00 per hour
