The City of Pearland, TX is seeking to hire a full-time Sr. Executive Assistant to manage the day-to-day administrative operations within our City Manager's Office.
Our Sr. Executive Assistant earns a competitive salary of $61,900 - $75,000 DOE/year based on qualifications. Additionally, the city pays all premiums for our employees' dental, long-term disability protection, and life insurance plus the majority portion of the medical premium for employees and their dependents. A DAY IN THE LIFE AS A SR. EXECUTIVE ASSISTANT
The purpose of this job within the organization is to provide high-level administrative support and enhance the effectiveness of the City Manager's Office.
This job works independently, under limited supervision, reporting major activities through periodic meetings.
Essential Functions

Performs clerical functions such as preparing correspondence, receiving visitors, scheduling meetings (in-person and virtually); acts as the liaison for the City Manager's Office (CMO) by representing the department at internal meetings and with all levels of staff.

Manages communication for the City Manager's Office (CMO) and the City Council, both internally and externally.

Organizes and prepares information for the CMO and Council; responsible for production and publishing of weekly and monthly publications, as assigned.

Keeps meeting minutes.

Manages schedules, calendars and travel for the CMO and Council; anticipating needs for the management team and their schedules; coordinates and provides support for meetings and public facing events for council.

Supports the business administration efforts of the CMO to include assistance with invoice processing and purchase order management, payroll, and expense reporting.

Supports the planning and execution of departmental events.
Additional Duties:

Serves on internal committees as a representative from the City Manager's Office.

Organizes and coordinates internal meetings for the CMO and other assigned groups, in addition to coordinating coverage calendar for breaks and vacations

Coordinates record retention efforts for the department, ensures files are living out retention period and stored properly. Facilitates public information requests.

Education and Experience:
Requires a Bachelor's Degree in business, political science or closely related field.
Requires six years mid- to senior-level administrative or closely related experience.
