We are seeking to add a local Project Administrator to our growing and talented high-end custom home division, Phillip Wentzel Custom Homes. This position requires the individual to be highly organized and work independently in a fast-paced environment.
Objective
The Project Administrator will support the Residential Construction division by providing administrative and project coordination assistance throughout all phases of construction.
Responsibilities

Solicit and coordinate bid proposals from subcontractors

Assist with subcontractor onboarding, including obtaining certificates of insurance and required documentation

Utilize Viewpoint software for project administration tasks, including:

Issuing subcontracts and purchase orders

Processing and issuing change orders
-
Tracking and maintaining project documentation
-
Following up on submittals and outstanding items
-
Organize and maintain drawing logs, specifications, and project files
-
Coordinate and schedule division meetings

Print construction drawings and revisions for subcontractors

Prepare and distribute project notices, updates, and communications to subcontractors

Support Assistant Project Managers, Project Managers, and Superintendents with administrative and coordination tasks throughout the construction process

Maintain accurate project records and ensure documentation is up to date

Assist with tracking project timelines, deliverables, and subcontractor communications

Help ensure projects remain organized and compliant

Perform other duties and functions as assigned
Qualifications
- Previous administrative experience in construction or project coordination preferred

Strong organizational and multitasking skills

Excellent written and verbal communication skills

Proficiency in Microsoft Office Suite

Ability to manage multiple projects and deadlines in a fast-paced environment
