Position Summary
Ritehaul Logistics is seeking a professional, organized, and personable Receptionist / Administrative Coordinator to serve as the first point of contact for customers, employees, drivers, vendors, and visitors. This role is responsible for managing front office operations, supporting human resources administration, and assisting company leadership with day-to-day administrative functions.
The ideal candidate is highly organized, detail-oriented, and comfortable handling confidential information while maintaining a professional and welcoming office environment.
Key Responsibilities
Front Desk & Office Administration
- Answer and direct incoming phone calls and emails professionally.
- Greet and assist visitors, applicants, employees, drivers, and vendors.
- Manage incoming and outgoing mail, packages, and deliveries.
- Maintain office supplies, equipment, and common areas.
- Coordinate meeting schedules and conference room usage.
- Organize, scan, file, and maintain company records and documentation.
- Assist leadership with administrative projects and special assignments.
Human Resources Support
- Assist with employee onboarding and new hire paperwork.
- Coordinate pre-employment requirements including background checks, drug screenings, and employment verification.
- Maintain employee personnel files and HR records.
- Track employee certifications, licenses, training requirements, and renewal dates.
- Assist with benefits enrollment and employee communications.
- Coordinate employee orientation and company training programs.
- Help manage PTO requests, attendance records, and employee documentation.
- Support recruiting efforts by posting job openings, scheduling interviews, and communicating with candidates.
- Maintain confidentiality of employee and company information.
Employee Relations & Culture
- Assist with employee recognition programs and company events.
- Support internal communications and employee announcements.
- Help maintain company policies, handbooks, and employee forms.
- Serve as a resource for employees regarding administrative and HR-related questions.
- Foster a positive and professional workplace environment.
Compliance & Recordkeeping
- Maintain organized personnel and compliance files.
- Assist with I-9 documentation and employment records.
- Track required company and employee documentation deadlines.
- Ensure records are maintained in accordance with company policies and applicable regulations.
QualificationsRequired
- High school diploma or equivalent.
- 2+ years of administrative, receptionist, office management, or HR support experience.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication abilities.
- Proficiency with Microsoft Office (Outlook, Excel, Word).
- Ability to handle confidential information with discretion.
- Professional appearance and phone etiquette.
Preferred
- Associate's or Bachelor's degree in Business Administration, Human Resources, or a related field.
- Experience supporting HR functions, recruiting, or employee onboarding.
- Experience in transportation, logistics, or a small-business environment.
- Bilingual (English/Spanish).
