Job Summary
We are seeking a dedicated and detail-oriented Surgery Scheduler & Patient Services Representative to join our healthcare team. The ideal candidate will possess strong administrative skills, excellent communication abilities, and a comprehensive understanding of medical office operations. In this role, you will coordinate surgical appointments, manage patient interactions, and ensure seamless communication between patients, providers, and insurance companies. Your expertise in electronic health records (EHR) systems, medical coding, and health information management will be essential to delivering exceptional patient service and supporting clinical workflows.
Responsibilities
- Schedule surgical procedures accurately within the electronic health records (EHR) system.
- Verify patient insurance coverage and perform insurance authorization and verification processes to facilitate timely scheduling.
- Review medical documentation for completeness and accuracy, ensuring compliance with HIPAA and clinical confidentiality policies.
- Assist patients with appointment inquiries via phone and in person, demonstrating professional phone etiquette and customer service skills.
- Maintain detailed medical records, ensuring proper filing, documentation review, and data entry using EMR/EHR management tools such as Dentrix or Eaglesoft.
- Collaborate with clinical staff to develop care plans and coordinate pre-operative assessments or follow-up appointments.
- Handle billing procedures related to surgeries, including medical collection efforts and coding support utilizing CPT codes, ICD-9/ICD-10 codes, and Medicare guidelines.
- Utilize computer skills such as Microsoft Office for administrative tasks like scheduling reports, correspondence, and data management.
- Support front desk operations by managing multi-line phone systems and performing clerical duties such as filing and data entry with 10-key typing proficiency.
- Ensure compliance with healthcare regulations by adhering to documentation standards, health insurance policies, and clinical confidentiality protocols.
Experience
- Prior experience in a medical office environment with a focus on surgical scheduling or patient services is required; clinic or hospital experience is preferred.
- Demonstrated proficiency with EMR/EHR systems such as Epic, Meditech, Athenahealth, or similar platforms is essential.
- Knowledge of medical billing processes including insurance verification, claims submission, and collection procedures.
- Familiarity with medical coding practices involving CPT coding for procedures and ICD coding for diagnoses (ICD-9/ICD-10).
- Strong organizational skills with the ability to manage multiple priorities efficiently in a fast-paced healthcare setting.
- Excellent communication skills—both verbal and written—with bilingual abilities considered an asset to serve diverse patient populations.
- Experience with vascular terminology or vascular clinic operations is advantageous but not mandatory; healthcare experience in hospital or outpatient settings is highly valued.
