The Care Coordinator / Scheduler plays a critical role in ensuring high-quality, consistent care delivery by effectively matching caregivers with clients and managing daily scheduling operations. This position serves as a central point of communication between clients, caregivers, and office staff, ensuring all care needs are met promptly and professionally.
Key Responsibilities
Create and maintain caregiver schedules to ensure all client shifts are fully staffed
Match caregivers to clients based on skills, availability, personality, and care needs
Manage last-minute call-offs, shift changes, and emergency coverage
Optimize schedules to reduce overtime and travel inefficiencies
Serve as a primary point of contact for clients and caregivers regarding schedules and care updates
Communicate changes in client needs to appropriate team members
Assist with onboarding new clients by coordinating start-of-care schedules
Monitor ongoing cases to ensure continuity and satisfaction
Maintain regular communication with caregivers regarding assignments and expectations
Address caregiver concerns and escalate issues when necessary
Track caregiver availability and update scheduling systems accordingly
Build and maintain positive relationships with clients and families
Respond promptly to client inquiries, concerns, and service requests
Ensure a high level of customer satisfaction and service quality
Maintain accurate records of schedules, call logs, and client/caregiver information
Use scheduling software to manage shifts and documentation
Assist with reporting, payroll verification, and compliance tracking
