Position Overview
We are seeking a reliable, compassionate, and detail-oriented Client Service Coordinator (CSC) for two veterinary clinics. The CSC serves as the first point of contact for clients, managing appointments, handling communications, maintaining accurate records, and ensuring smooth front-desk operations. This role helps create a welcoming environment for clients and their pets while assisting with administrative and scheduling tasks that keep the clinic running efficiently.
Key Job Responsibilities
- Greet clients and their pets when they arrive at the clinic
- Answer phone calls and respond to emails
- Schedule, confirm, and manage appointments
- Provide basic information about services, vaccines, preventatives and clinic policies
- Communicate with pet owners about appointment details, wait times, and follow-ups
- Check clients in and out during visits
- Maintain accurate client and patient records in the clinic software
- Process payments (cash, credit cards, insurance claims)
- Relay messages between veterinarians, technicians, and clients
- Guide clients through medication pickup or refill requests
- Show empathy during stressful or emotional situations (e.g., illness or euthanasia visits)
- Maintain professionalism and confidentiality
Skills Required
- Strong customer service and communication skills
- Ability to multitask in a busy clinic
- Basic computer and scheduling skills
- Attention to detail with records and billing
- Comfortable working around animals
