Job Summary
West Village Group is seeking a highly organized, dependable, and motivated Office Assistant to join our growing property management team. This position plays a key role in the daily operations of our office by supporting leasing, resident communications, maintenance coordination, and administrative tasks. The ideal candidate enjoys staying organized, can manage multiple priorities, and takes pride in keeping an office running efficiently.

Responsibilities
- Greet residents, vendors, and visitors while providing exceptional customer service.
- Answer and direct incoming phone calls in a professional manner.
- Assist with lease preparation, renewals, move-ins, and move-outs.
- Maintain organized resident files and ensure documentation is complete and accurate.
- Process maintenance requests and coordinate with vendors and maintenance staff.
- Assist with rent collections, payment plans, and resident account updates.
- Prepare resident notices, correspondence, and general office communications.
- Perform data entry and maintain accurate records using property management software.
- Schedule appointments, inspections, and vendor visits.
- Monitor office supplies and assist with general administrative duties.
- Support management with special projects and day-to-day office operations.
Qualifications
- Previous administrative or office experience required.
- Property management experience is preferred.
- Experience with AppFolio is highly preferred.
- Strong proficiency in Microsoft Office (Word, Excel, Outlook).
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Ability to multitask, prioritize work, and meet deadlines.
- Professional, dependable, and detail-oriented.
- Comfortable learning new software and adapting to changing priorities.
