Job Overview
We are seeking an Operations Specialist to join our team in a fast-paced, hands-on role. This position is ideal for someone who thrives on variety, multitasking, and learning new skills.
This role is best described as a floater position. You will support multiple departments, including Operations, Benefits, Payroll, and Human Resources, while receiving on-the-job training. We are willing to train the right candidate; however, this role requires confidence, adaptability, and comfort with frequent phone and in-person interaction.
This is a highly interactive, in-office role and is not suitable for individuals who prefer limited phone use or minimal client contact.
Responsibilities
- Provide administrative and operational support across multiple departments
- Assist with data entry, reporting, and document review (Excel spreadsheets, cost sheets, etc.)
- Handle employee onboarding, terminations, and changes.
- Serve as first and second eyes on tasks to ensure everything is accurate and compliant.
- Manage client communications via email and phone, helping employees and clients with questions.
- Assist with audits and prepare required documentation.
- Administer COBRA, including notifications and compliance tracking.
- Support the Ease platform: setup, troubleshooting, and ongoing usage.
- Transitioning to Employee Navigator
- Maintain accurate information in the Gen4 system.
- Maintain the ability to remain organized and efficient in workload
- Provide excellent customer service via email, phone, text and in person.
- Attend Client meetings in person and virtual.
- Process claims and assists employees with claims questions.
- Possible general HR assistance
Qualifications & Skills
- Two years of Office experience required; we are willing to train on other work related items
- Strong organizational and detail-oriented skills.
- Bilingual (Spanish) preferred but not required
- Comfortable in a fast-paced environment with frequently changing priorities
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Maintain a valid driver’s license, car insurance, and a working vehicle.
- Prolonged periods sitting/standing at a desk and working on a computer
- Detail-oriented with strong follow-through
- Proficient in Microsoft Office (Excel, Word, Outlook; PowerPoint a plus)
- Proficient in Adobe products, Canva, Wondershare Filmora, Vimeo.
- Must be able to lift 20 pounds at times
Schedule: Full-Time | 40-hour work week
Job Type: Full-time
Pay: $20.00 - $23.00 per hour
