Executive Assistant
We are currently seeking candidates for an Executive Assistant role with a highly successful investment management firm located in Boston, MA. The Executive Assistant will provide high-level administrative support to senior professionals in a fast-paced and collaborative environment. This individual will play a key role in keeping day-to-day business activities running smoothly by managing schedules, coordinating logistics, and supporting a variety of operational and administrative initiatives. The ideal candidate will have 2–5 years of Executive Assistant or administrative support experience and possess exceptional organizational, communication, and prioritization skills.
This is a permanent position paying between $85,000–$95,000 annually (depending on experience).
This role supports a hybrid work model, consisting of 4 days on-site and 1 day remote per week.
Candidates must be local to the Greater Boston area and willing to work four days per week onsite in Boston, MA.
Responsibilities:
- Oversee complex calendars and scheduling needs across multiple priorities while ensuring efficient time management and meeting coordination.
- Arrange domestic and international travel plans, including transportation, accommodations, and itinerary management.
- Facilitate internal and external meetings by coordinating logistics, preparing materials, and managing scheduling changes when necessary.
- Serve as a reliable point of contact for senior team members and business partners, providing responsive and professional administrative support.
- Process expense reports and maintain administrative records in accordance with company policies and procedures.
- Anticipate scheduling conflicts and operational needs, proactively identifying solutions in a fast-moving environment.
- Partner with colleagues across departments to support business initiatives and ensure seamless execution of day-to-day activities.
- Assist with special projects and other administrative assignments as business needs evolve.
- Handle confidential and sensitive information with professionalism, sound judgment, and discretion.
- Provide additional support and cross-functional coverage as needed.
Qualifications:
- Bachelor's degree preferred.
- 2–5 years of Executive Assistant, administrative, or related professional support experience.
- Demonstrated experience managing complex calendars and coordinating travel arrangements for senior-level professionals.
- Strong organizational skills with the ability to effectively manage multiple priorities and deadlines.
- Excellent verbal and written communication skills.
- High level of professionalism, discretion, and attention to detail.
- Ability to remain adaptable and composed in a fast-paced environment.
- Strong interpersonal skills and the ability to build productive working relationships across teams.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Experience supporting professionals within financial services or investment management is a plus but not required.
