We are seeking a dynamic and bilingual (English and Spanish) Spa Front Desk Associate with strong office management and administrative skills. Responsibilities
- Greet clients warmly in both English and Spanish, ensuring a welcoming atmosphere from the moment they arrive
- Manage multi-line phone systems, answer inquiries, schedule appointments, and handle client communications with professionalism and courtesy
- Maintain accurate appointment calendars using Google Workspace or similar tools, ensuring efficient scheduling and timely follow-ups
- Perform data entry, filing, and record keeping using Microsoft Office applications such as Word and Excel, along with QuickBooks for basic bookkeeping tasks
- Support office management by handling clerical duties including proofreading documents, managing correspondence, and organizing files
- Assist with client check-in/check-out processes, ensuring all information is correctly recorded and privacy is maintained
- Handle phone reception with excellent etiquette, ensuring all calls are directed appropriately and clients feel valued
Qualifications
- Bilingual proficiency in English and Spanish is required to effectively communicate with diverse clients
- Prior office management or administrative experience in a customer-focused environment is essential
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, QuickBooks, and general computer skills
- Experience with front desk operations, multi-line phone systems, data entry, filing, and clerical tasks preferred
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting
- Demonstrated customer service skills with a friendly demeanor and professional phone etiquette
- Ability to manage calendar schedules accurately and support personal assistant functions as needed
- Attention to detail for proofreading documents and maintaining accurate records
- Strong time management skills to prioritize tasks effectively throughout the day
