we are a brand-new kitchen cabinet warehouse located in Tempe, we are looking for a highly organized and versatile Office Manager to handle our daily bookkeeping, human resources, and general office administration. This is a critical hybrid role supporting a dedicated team of 10-15 warehouse professionals.
Job Summary:
The ideal candidate will be the backbone of our administrative operations. You will manage daily financial records using QuickBooks, coordinate employee payroll, oversee the hiring and onboarding of warehouse staff, and ensure compliance with Arizona state employment laws (including E-Verify).
Key Responsibilities:
1. Bookkeeping & Financial Admin (50%)
- Maintain accurate financial records, including accounts payable (AP) and accounts receivable (AR) using QuickBooks Online.
- Process vendor invoices from cabinetry suppliers and reconcile monthly bank/credit card statements.
- Prepare basic financial reports (Profit & Loss, Balance Sheet) for management review.
- Monitor incoming customer payments and coordinate with logistics partners regarding shipping invoices.
2. Human Resources & Payroll (40%)
- Manage the full-cycle recruitment process for warehouse staff (Assemblers, Shippers, Quality Control) in partnership with the Warehouse Manager.
- Handle employee onboarding, including the processing of Form W-4, Form I-9, and ensuring mandatory Arizona E-Verify compliance.
- Process bi-weekly payroll and manage employee attendance and Paid Time Off (PTO) tracking.
- Ensure company policies comply with Arizona state labor standards and workplace safety regulations.
3. General Office Support (10%)
- Answer phone calls, respond to customer service emails, and welcome visitors/contractors.
- Order office and kitchen supplies, and assist with document filing and scanning.
Qualifications & Skills:
- Experience: Minimum 2-3 years of proven experience in bookkeeping, office management, or human resources (experience in a warehouse, logistics, or manufacturing environment is a huge plus).
- Software Competency: Proficient in QuickBooks Online and mainstream payroll platforms (e.g., Gusto, ADP). Strong skills in MS Excel/Google Sheets.
- Knowledge: Solid understanding of basic accounting principles and standard US/Arizona HR compliance (Form I-9, W-4, at-will employment).
- Traits: Exceptional multi-tasking abilities, strong attention to detail, and a highly trustworthy character with respect for confidential information.
- Language: Professional English communication skills (written and verbal). Bilingual in Mandarin or Spanish is a preference but not required.
