Position Title: Technical Service Coordinator
JOB SUMMARY:
Pak-Tec is seeking a Technical Service Coordinator to join our Operations team and provide critical administrative support to the Technical Service Department. This role works closely with customers, technicians, vendors, and internal departments to help ensure service operations run efficiently.
Responsibilities include reviewing service reports, processing invoices, managing warranty claims and RMAs, administering service contracts, supporting service software systems, and assisting with reporting and compliance requirements. The successful candidate is organized, detail-oriented, customer-focused, and committed to delivering a positive customer experience.
DUTIES & RESPONSIBILITIES:
Service Administration & Billing
- Review service reports for accuracy, completeness, and proper documentation prior to invoicing.
- Process service-related invoices accurately and in a timely manner.
- Assist with basic service quotations, work orders, sales orders, purchase orders.
- Investigate and resolve service-related billing discrepancies and assist with past-due collections as needed.
- Conduct post-service follow-up with customers to ensure satisfaction.
- Assist the Technical Service team with day-to-day administrative and operational activities, including resolving scheduling, documentation, and service-related issues.
RMA & Warranty Administration
- Manage all Return Material Authorization (RMA) activities for customer returns, vendor depot repairs, and warranty claims accurately and within a timely manner.
- Maintain accurate records for warranties, approvals, credits, and replacements.
Service Contract Administration
- Manage service contract records, billing, renewals, and upcoming contract expirations.
- Ensure all work is properly documented against contract requirements.
Inventory & Parts Support
- Assist the technical department with inventory control, cycle counts, and inventory management of service parts and consumables.
- Support the receiving, transfer, tracking, and stocking of service-related inventory.
Service Systems & Reporting
- Support administration of the Field Service Management (FSM) and ERP software systems, including user support and maintenance of service records.
- Run reports and track KPIs to support the Technical Service department and improve system utilization.
General Administrative Support
- Provide backup support for customer service, administrative, and other operational functions as needed.
- Maintain the company's Safety Data Sheet (SDS) repository. Respond to customer requests for SDS and compliance documentation.
SKILLS & QUALIFICATIONS:
- Associate degree or equivalent experience preferred.
- 3+ years of experience in service administration, customer service, operations support, or a related field.
- Experience with ERP, CRM, field service, or other business software systems.
- Strong computer skills, particularly Microsoft Excel and Outlook.
- Basic aptitude or understanding of industrial equipment preferred.
- Experience supporting field service or technical operations teams is a plus.
