General Description: Harris United Methodist Church is a congregation of the Hawaii District, California-Pacific Annual Conference, The United Methodist Church.
The Church Facilities Secretary/Receptionist is the front-line representative of Harris Church to the public. Situated in the church office, they are the first point of contact made in person, by telephone, fax or e-mail. The Facilities Secretary/Receptionist receives, makes disposition and follow-up on all facility use requests as well as emergency repair needs. They are assigned other congregational duties and works closely with and is accountable to the Church Administrative Secretary.
Job Responsibilities:
A. Facilities Related Duties
1. Maintains oversight of the general safety and cleanliness of the campus and the facilities.
2. Manages use of rooms and facilities for meetings and special events.
3. Receives, provides:
a. Room use policies/procedures
b. Follows up and posts room requests from church members
c. Secures applicable approval from pastor and Trustees chairperson for room use for non-church requests before posting

5. Maintains the Yahoo calendar web site and posts the calendar weekly for on-site public information.
6. Informs custodial/utility workers of room set-up needs and arranges custodial, media and other appropriate staffing for special events.
7. Handles and manages emergency repair needs.
8. Coordinates use of facilities among users when necessary.
9. Maintains the use and security of keys: Manages key use policies established by the Board of Trustees including keys kept in the church office as well as those distributed to members and selected user group leaders.
10. Manages the use of paid parking: Receives and approves paid parking use requests and follows up on monthly payments or other concerns; maintains waiting list for parking stalls.
11. Maintains contact with security guards and parking lot maintenance service provider to ensure a safe environment.
B. Office Receptionist Duties
1. Maintains the church office as a friendly and hospitable place.
Receives visitors to the office and responds to their needs or arranges contacts with appropriate staff.
3. Handles telephone calls and messages.
4. Handles incoming and outgoing mail.
5. Handles billing to pre-school for lease rental and deposits payment.
6. Maintains petty cash.
7. Handles checks and cash received in the church office following standard operating procedure.
8. Manges lost and found.
9. Assist the Church Administrative Secretary in keeping an inventory and ordering office supplies.
C. Other assigned duties
1. Prints monthly church newsletter.
2. Assists with the recruitment, scheduling and guidance of administrative volunteers.
3. Provides staff assistance for special congregational or staff events as needed.
Hours of Work: 20 hour work week, Monday to Friday, 8:30 a.m. to 12:30 p.m.
Educational and Experience Requirements
A. A minimum of one year of post high school academic educational, Community college level course work in office management and human relations is highly desirable.
B. A minimum of three years of experience in facilities management and day to day maintenance.
C. Competence in the use of computers and programs.
D. Evidence of written and oral community skills.
E. Holds a current Hawaii driver’s license and has access to a car.
