Job Summary
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office environment. This pivotal role involves overseeing administrative functions, managing vendor relationships, coordinating schedules, and ensuring smooth communication across teams. Responsibilities
- Oversee daily office operations to ensure efficiency and organization across all departments.
- Coordinate and manage scheduling for meetings, appointments, and company events to optimize team productivity.
- Supervise administrative staff and provide training & development opportunities to enhance team performance.
- Handle vendor management by negotiating contracts, processing invoices, and maintaining positive relationships with suppliers.
- Oversee bookkeeping and basic accounting tasks using QuickBooks or similar software to ensure accurate financial records.
- Manage human resources functions such as onboarding new employees, maintaining personnel files, and supporting payroll processes.
- Assist with budgeting efforts by monitoring expenses and preparing reports for management review.
- Organize filing systems—(digital )to ensure easy access to important documents.
- Support office management tasks if applicable, including appointment scheduling and patient record organization.
- Coordinate event planning activities for company functions or community outreach initiatives.
- Maintain online store inventory and oversee procurement processes.
- Ensure compliance with office policies and procedures while fostering a positive work environment that encourages teamwork.
Experience
- Proven experience in office management or administrative roles within a professional setting.
- Supervising experience with the ability to lead teams effectively and foster professional development.
- Strong proficiency in QuickBooks for bookkeeping and payroll processing.
- Demonstrated ability to manage schedules efficiently using calendar management tools.
- Experience in vendor management, contract negotiations, and budget oversight.
- Familiarity with human resources functions such as onboarding, employee records management, and payroll administration.
- Prior experience in event planning and coordinating large or small-scale company events is highly desirable.
- Excellent communication skills with the ability to handle front desk duties confidently and professionally.
- Knowledge of medical office procedures is a plus but not required.
- Strong organizational skills with keen attention to detail in filing, record keeping, and multitasking across various responsibilities.
