We are seeking a dependable, organized, and bilingual Workers’ Compensation Administrative Assistant to join our legal team. This is a great opportunity for someone who is interested in learning workers’ compensation and growing with the law firm.
The ideal candidate is fluent in Spanish and English, comfortable communicating with clients, organized, detail-oriented, and able to manage multiple administrative tasks throughout the day.
Workers’ compensation experience is helpful but not required. We are willing to train the right candidate.

Communicating with Spanish and Englishspeaking clients by telephone, text, and email.

Assisting with opening new Workers’ Compensation files.

Searching the case management system before opening a new matter to prevent duplicate files.

Verifying Workers’ Compensation insurance coverage and claim information.

Obtaining and updating adjuster, insurance carrier, employer, and claim information.

Preparing and sending Letters of Representation (LORs) to insurance carriers, adjusters, employers, and medical providers.

Sending new clients welcome letters and mileage reimbursement forms.

Requesting medical records and bills.
-
Assisting with medical referrals and authorizations.

Confirming medical appointments with clients.

Obtaining and saving work status notes, referrals, medical orders, and appointment information.

Assisting with mileage reimbursement requests.

Saving and properly labeling documents in the case management system.

Entering clear notes regarding client and provider communications.

Creating followup tasks for outstanding items.

Maintaining and updating client information.

Assisting with calendars and scheduling.

Routing legal questions and important case developments to the assigned paralegal or attorney.

Providing general administrative support to the Workers’ Compensation paralegal and attorney.

Fluent in Spanish and English required.

Filevine experience is a plus.

Workers’ Compensation experience is a plus, but not required.
Spanish and English fluency is required. The candidate must be comfortable speaking directly with Spanish-speaking clients and accurately communicating information between clients and the legal team.
