General Responsibilities:
Process all information necessary to ensure that employees are paid in an accurate and timely fashion. This includes handling voluntary and mandatory deductions, hourly timesheets, direct deposits, non-overnight travel per diem vouchers, employee benefits, deferred compensation, and other duties as assigned. Work with all levels of staff and assist them in completing new hire benefits paperwork and answer related benefits questions concerning insurance and other state benefits.
This job requires STRICT confidentiality of all information within the Payroll Office.
Essential Tasks:
Performs general duties for the payroll office such as but not limited to the initial processing of new employees for salaried and hourly payrolls and benefits.
Enter changes to employee payroll records (direct deposit, deferred compensation and W-4s, etc.) into the CAPPS payroll system.
Answer incoming calls to Payroll Office.
Communicate with employees to research and answer questions regarding salary changes, payroll adjustments, benefits, etc.
Compute compensation for salaried and hourly employees and calculates insurance salary.
Process duplicate copies of reissuing W-2's and statement of earnings, etc.
Complete paperwork for verifications of employment, loans, wages, TWC wage verifications, and other payroll and benefits related forms.
Audits non-overnight travel per diem vouchers for legislative members.
Assist employees with new hire benefits and payroll paperwork.
Assist employees with benefits coverage and verify eligibility, plan year changes, enters and updates files in ERS Online PeopleSoft system, audit forms and reports, and research and resolve discrepancies.
Enters new hire benefits enrollments, plan year changes, and annual enrollment changes in the PeopleSoft ERS Online System.
Copy and maintain supplies of related documents necessary to perform job duties.
File payrolls and benefits paperwork.
Maintain a regular work schedule 8-5, Monday through Friday.
Perform other related work as assigned
Experience and Education:
Graduation from a standard senior high school or equivalent. Experience and education may be substituted for one another. Some college preferred. Knowledge of payroll/benefits.
Knowledge, Skills, and Abilities:
Knowledge of generally accepted accounting principles and procedures affecting the maintenance of accounting records and automated accounting systems.
Ability to work accurately and independently with numerical detail.
Ability to interact and work effectively with co-workers, members, staff, and the public.
Ability to work extended hours and occasional weekends during a legislative session.
Ability to work under pressure to meet deadlines.
Ability to be self-motivated and exercise initiative and independent judgement.
Ability to assess and resolve sensitive work related confidential situations/issues and be an empathic communicator.
Ability to maintain a professional and positive work environment.
Ability to take initiative to learn related programs, policy, guidelines, and materials to proficiently perform jobs.
Ability to maintain a clear focus on details and follow-up.
Skill in prioritizing, scheduling, and managing multiple projects and deadline, particularly under pressure. Proficient with most routine computer programs (PC, Outlook, Work, Excel, etc.).
