The AP Receiving Clerk supports accounts payable, receiving, and inventory management functions under the direction of the FA Accounting & Receiving Lead while serving as a backup for this role. This position is responsible for assisting with asset tracking, inventory control, purchase order receiving, and reconciliation of records across systems to ensure accuracy and compliance. The role also provides support to warehouse operations and other accounting department functions as needed.
Professional Duties
- Adhere to established fixed asset policies and procedures for acquisition, maintenance, retention, and recordkeeping of assets.
- Update the fixed asset database with asset detail on a daily/weekly basis, preparing record for supervisor/lead
- Update, maintain and complete database inventory logs, forms and supporting documents. Adding existing items to the database as needed.
- Assists in assigning inventory tags and properly installing them. Replace inventory tags as needed. Assign a fixed asset number and tag to newly received and reconciled fixed assets.
- Conduct physical inventory counts by locating, identifying and verifying assets during field inventory activities assigned by supervisor/lead.
- Create and print exception file. Locate missing inventory and reconcile exceptions, preparing file for leads approval.
- Support Lead in the transfer and/or disposal of surplus and/or obsolete assets. Ensure that transfer, disposal, sale, retirement of assets is accurately documented.
- Assist with receiving goods ordered for inventory and specific departments.
- Utilize packing slips to reconcile purchase orders in SAGE and ENVI. Identify and address discrepancies.
- Create and maintain spreadsheets and reports as directed.
- Maintain inventory of assigned items and support warehouse personnel with new office setups, deliveries, and assembly of delivered items as directed.
- Perform other duties as assigned.
Qualifications
- High School diploma or equivalent required.
- 1 year experience in warehouse or professional setting required.
- Knowledge of inventory management.
- Ability to utilize a computer and Microsoft Office Suite applications/software (Word, Excel, Power Point, Excel) preferred but willing to train the right candidate.
- Detail oriented. Ability to prioritize tasks to meet established deadlines and reprioritize tasks as the need arises.
- A definite plus to have receiving and/or warehouse experience.
- Excellent interpersonal, written, and oral communication skills
- Able to work independently with minimum supervision, multi-tasking abilities.
- Current California driver’s license and proof of automobile insurance required.
