Summary:
OCY Management, LLC is seeking a highly organized, detail-driven Driver & Claims Coordinator to support our transportation operations. This role handles driver recruiting outreach, onboarding and document control, drug & alcohol program administration, permit tracking, incident/accident reporting, camera footage requests, and claims/subrogation support. You’ll help keep our fleet compliant, our files audit-ready, and our reporting obligations met.
Key Responsibilities:
Driver Recruiting & General Support
- Conduct outbound phone calls to support driver recruiting and follow up with applicants/prospects.
- Manage Lost & Found intake, tracking, and resolution.
Driver Onboarding, Compliance & System Updates
- Add new drivers to internal systems and ensure profiles are complete and accurate.
Coordinate new driver onboarding steps, including:
- Collecting required documents and creating a driver file/folder
- Requesting and filing DMV Pull Notices
- Sending drivers for pre-employment drug testing
- Scanning and filing completed onboarding packets
Maintain and track ongoing compliance items for all drivers, including:
- Driver’s License expiration tracking
- DMV Pull Notice updates
- Norton Medical renewals and payment follow-up
- Ensure all compliance updates are reflected in internal systems (e.g., license expiration, Norton status, driver assignment details).
- Update driver photos in designated internal system.
Permits & City Documentation
- Receive and scan permits from the City of Anaheim.
- Maintain a master file of permits and update internal systems accordingly.
OCTA / Access Reporting & Database Submissions
- Submit new drivers (and required updates) to the OCTA database.
- For Access-related incidents/accidents:
- Upload documentation to the appropriate OCTA portal/database
- Send required reports to TransDev
- Maintain organized backup records for compliance and audits
Drug & Alcohol Program Administration
Coordinate and track random drug & alcohol testing:
- Notify drivers and send them for random tests
- Collect clinic paperwork and maintain complete documentation
- Create and file the Pre-Employment (PE) / Random Log monthly
- Prepare audit-ready folders including logs, lists, and supporting paperwork.
Safety, Incidents, Accidents & Camera Footage
- Collect and review incident and accident reports for completeness and accuracy; scan and file as required.
- Pull and provide camera footage for incidents, accidents, and complaints.
- Update camera/vehicle assignments based on internal email requests.
Claims & Subrogation
- Open and support claims for not-at-fault accidents, including compiling:
- Repair estimates
- Tow bills
- Loss-of-use documentation
- Prepare and submit Subrogation Demand packages.
- Submit accidents to ESIS when required and maintain supporting documentation.
Qualifications
- 1+ year experience in an administrative, compliance, safety, HR, transportation operations, or claims-support role (preferred)
- Comfortable making outbound calls and following up consistently
- Strong organizational skills; able to maintain confidential, audit-ready documentation
- Proficient with scanning, digital file management, and Microsoft Office/Google Workspace
- Experience with compliance & reporting, DMV Pull Notices, or drug & alcohol programs is a plus

Pay: $24.00 - $25.50 per hour
