Job Description
We are looking for a Construction Office Manager to provide crucial support to our construction manager and teams, performing a mix of administrative, HR and payroll duties. This role involves managing multiple lines of communication between team members, coordinating calendars and appointments, processing meeting notes, trafficking the right information to the right team member and follow up to ensure completion, payroll/HR duties, keeping the office organized and reinforcing boundaries as new processes are put in place. We need a swiss army knife with a cheerful personality who is tech savvy and can wear many hats while making sure everyone stays in their lane.... with a smile.
Responsibilities
Administrative and Clerical Tasks
- Organization: Maintaining files, answering phones, and managing correspondence.
- Communication: Acting as a point of contact for vendors, subcontractors, team members and clients
- Payroll/HR administration with knowledge of audits and CA HR/payroll laws
- Tracking data and communication/scheduling with other admin personnel and management
- Insurance annual administrative duties
Project Support
- Assisting with Estimates and Invoices: Gathering information and supporting the preparation of construction project estimates and invoices
- Keeping samples organized and in stock
- Managing vendor invoices and payments through bill pay software
Qualifications
- Proficiency in Microsoft Office programs such as Word and Excel.
- Bilingual English/Spanish required
- Must be able to commute to our offices in Studio City and sometimes South LA
- Experience with payroll/HR and CA payroll/HR laws
