A well-established boutique law firm serving high-net-worth individuals and families seeks an experienced Legal Administrative Assistant to support a sophisticated trusts and estates practice.
This position is ideal for a highly organized professional who takes pride in providing exceptional client service, managing multiple priorities, and ensuring that attorneys and clients receive prompt, accurate, and professional support.
Responsibilities
- Serve as a primary point of contact for clients, advisors, and other professional contacts.
- Manage attorney calendars, appointments, meetings, and deadlines.
- Schedule client conferences and coordinate meeting logistics.
- Draft, proofread, and format correspondence and legal documents.
- Maintain electronic and physical client files.
- Track matter status and follow up on outstanding items.
- Process incoming and outgoing mail, emails, and client communications.
- Assist with document execution, scanning, and records management.
- Coordinate with financial institutions, accountants, fiduciaries, and other third parties.
- Provide general administrative support to attorneys and paralegals.
Qualifications
- Minimum 3 years of experience as a legal administrative assistant, legal secretary, executive assistant, or similar professional support role.
- Exceptional organizational and time-management skills.
- Strong verbal and written communication skills.
- Professional demeanor and commitment to outstanding client service.
- Ability to manage multiple projects and deadlines simultaneously.
- Excellent attention to detail and follow-through.
- Proficiency in Microsoft Office, including Outlook, Word, and Excel.
- Ability to work independently while collaborating effectively with attorneys and staff.
Preferred Qualifications
- Experience in trusts and estates, estate planning, probate, tax, private client, or family office environments.
- Experience supporting professionals who serve high-net-worth clients.
- Familiarity with document management systems and legal practice management software.
