We are looking for a highly organized, tech-savvy Spa Manager to oversee our daily operations, support our talented team, and ensure our clients always receive a flawless experience. The Role: Operations, Team, & Technology
In this role, you will be the core engine of our daily operations. You will manage the front-of-house experience, coordinate our service providers, and maintain the digital platforms that keep our business organized and efficient.
Key Responsibilities
- Client & Schedule Coordination: Oversee the main booking calendar to maximize appointment efficiency. Handle client inquiries, check-ins, and checkout processes with warmth and professionalism.
- Technology & Systems Management: Serve as the primary administrator for our spa management and point-of-sale (POS) software. You will be responsible for entering client data, maintaining accurate schedule configurations, updating service menus in the system, and troubleshooting basic software glitches or interface updates.
- Team Leadership: Lead, schedule, and mentor our professional team of licensed massage therapists and estheticians. Foster a positive, collaborative, and accountable work environment.
- Daily Spa Oversight: Maintain a pristine, welcoming, and organized spa environment. Ensure retail shelves are stocked, treatment rooms are prepared, and standard operating procedures are consistently met.
- Marketing & Social Media Support: Assist with managing our digital marketing tools and maintain an active, engaging social media presence to connect with our community.
- Autonomous Problem Solving: Make independent, confident decisions to resolve scheduling conflicts, client feedback, or staff adjustments on the fly.
Qualifications We’re Looking For
The ideal candidate is highly efficient, detail-oriented, and genuinely enjoys a hospitality-driven environment. You don't need a computer science degree, but you must be someone who feels completely at ease navigating, learning, and managing digital applications.
- Experience: 2+ years of management or supervisory experience in a spa, salon, hospitality, fine dining, or premium retail setting.
- Tech Literacy: Strong comfort level with computer systems and applications. Experience with spa/salon management software (such as Fresha, Square, or similar platforms) is a major plus. You must be able to adapt quickly to new software and feel confident managing user permissions and system settings.
- Customer Service Excellence: A proven track record of managing client relationships with grace, patience, and a "go the extra mile" attitude.
- Organizational Skills: Exceptional ability to multitask, manage inventory, keep digital records clean, and notice the small things that keep a business polished.
- Location: Ability to reliably commute to our location in Lake Zurich, IL for an in-person, weekday schedule.
