Job Summary
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office environment. This pivotal role involves overseeing administrative functions, managing vendor relationships, coordinating events, supervising staff, and ensuring smooth office workflows. Duties
- Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling to ensure seamless communication and workflow.
- Supervise administrative staff and support team members through training, development, and performance management initiatives.
- Coordinate and plan company events, meetings, and training sessions to promote team engagement and professional growth.
- Manage vendor relationships by negotiating contracts, tracking service delivery, and ensuring timely payments using tools like QuickBooks for bookkeeping and payroll processing.
- Handle human resources functions such as onboarding new employees, maintaining personnel records, managing employee files, and supporting HR compliance efforts.
- Oversee budgeting activities related to office supplies, equipment maintenance, and event planning to optimize resource allocation.
- Maintain accurate filing systems, manage invoices, process payroll, and perform bookkeeping tasks to ensure financial accuracy and accountability.
- Support medical or specialized office management needs if applicable by coordinating appointments, managing patient or client records, and ensuring compliance with relevant regulations.
Qualifications
- Proven experience in office management or administrative roles with demonstrated supervisory experience.
- Strong proficiency in Sage software or similar accounting software for bookkeeping and payroll management.
- Excellent organizational skills with the ability to manage schedules effectively across multiple priorities.
- Exceptional communication skills coupled with professional phone etiquette for interacting with clients, vendors, and team members.
- Experience in event planning, vendor management, human resources functions including onboarding and training.
- Knowledge of office procedures such as filing systems, front desk operations, multi-line phone systems, calendar management, and clerical tasks.
- Ability to handle budgeting responsibilities responsibly while maintaining attention to detail in financial documentation.
