Administrative Management:
Summary:
We are seeking a highly organized and compassionate individual to join our team as the Administration Manger for our vibrant behavioral health practice. This position plays a vital role in ensuring the smooth operation of the practice. As a manager you will coordinate insurance processing, provide exceptional customer service, and support our clinicians. You will be the first point of contact for patients, parents, and our therapists ensuring a positive and welcoming environment.
Essential Responsibilities:
- Manage the intake process for new patients, including collecting information, verifying insurance, and scheduling appointments.
- Respond to patient inquiries and concerns promptly and professionally, with a focus on building rapport and empathy.
- Collaborate with providers to coordinate schedules and facilitate smooth appointment bookings.
- Ensure all patient forms and paperwork are completed accurately and efficiently.
- Check on and follow up on incomplete progress notes from providers.
Insurance & Billing:
- Partner with the billing department to obtain insurance authorization for new patients.
- Collect payment from patients and/or families in accordance with insurance practice policies.
- Handle patient inquiries related to billing and insurance.
Administrative Support:
- Assist clinicians with administrative tasks such as data entry, filing, and record keeping.
- Maintain accurate and organized patient records in accordance with HIPAA regulations.
- Maintain an updated accurate file on when treatment plan renewals are due and inform appropriate staff of renewal.
Data & Reporting:
- Compile regular reports from the EHR to monitor the performance of the division, including metrics on patient demographics, diagnoses, finances, etc.
- Analyze reports to identify areas for improvement and present findings to the division director.
Meetings & Communications:
- Manage staff meetings and take comprehensive notes, sharing key takeaways with relevant parties.
- Send outstanding progress note and session note reports to therapists on a regular basis.
- Assist clinicians with administrative tasks such as new hires, onboarding, and intterviews.
- Maintain accurate and organized therapist records in accordance with HIPAA regulations.
- Maintain an updated accurate file on when trainings expire and inform staff of renewal.
General:

Non-Essential Responsibilities:
- Assist with marketing and outreach initiatives.

Knowledge, Skills, and Abilities:
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
- Knowledge of Office Ally and willing to learn and adapt to new technologies.
- Understanding of HIPAA regulations and best practices.
- Compassionate and understanding demeanor, suitable for working with individuals with mental health concerns.
- Ability to work independently and as part of a team.
- Strong attention to detail and accuracy.
- Analytical skills and ability to generate reports from complex data sets.
- Active listening and phone screening skills.
Qualifications:
- Must live in Maryland
- Must possess reliable transportation
- Human Resource experience preferred.
- Minimum of 2 years of experience in a healthcare administrative role, preferably in a behavioral health setting.
- Associate's degree in a related field is preferred.
- Strong customer service skills.
- Experience with insurance companies
- Proficient in insurance procedures.
- Valid driver's license and reliable transportation.
- Bilingual candidates are preferred.
Job Type: Full-time
Pay: $20.00 - $40.00 per hour
Expected hours: 30.0 – 40.0 per week
